Position Overview

The Executive Assistant is responsible for providing high-level, comprehensive administrative support to the organization's President and CEO. This individual will effectively manage schedules, prioritize communications, and ensure that the CEO's time is allocated to the most critical tasks and enable him/her to focus on essential responsibilities to be most productive and efficient. The Executive Assistant must be able to anticipate changing needs and priorities, make independent judgments and decisions to help minimize distractions or impact to the effectiveness of the CEO.

Essential Duties and Responsibilities

  • Provides high-level, comprehensive administrative support to the organization's President and CEO.

  • Manages the CEO's schedule, prioritizes communications, and ensures that the CEO's time is used effectively.

  • Interacts professionally with members of the executive team, Board Members, employees, and other stakeholders.

  • Schedules and alerts the Chief Executive Officer to date and time of meetings, conferences, etc.; assists him/her in scheduling, arranging and preparing for appointments, interviews, business trips, etc.; maintains a schedule of commitments to avoid conflicts; makes travel and hotel reservations; makes reservations for meetings.

  • Represents the CEO's best interests and effectively communicates their decisions and/or directives.

  • Services as a liaison between the CEO and other stakeholders.

  • Uses discretion and independent judgment when evaluating different courses of action, making decisions, or making recommendations.

  • Attends meetings with members of the executive team or independently.

  • Supports other executives, Board members, and others across the organization to contribute to the whole team's performance.

  • Uses discretion and maintains confidentiality with sensitive information, data, and other matters of significance.

  • Organizes and improves internal business processes and procedures.

  • Performs various administrative tasks including, but not limited to:

  • Manages calendar, schedules meetings, sends and receives invitations, coordinates with other parties to avoid conflicts and inefficient use of time.

  • Plans and prepares for meetings and special events; sets up and tests special equipment needed; orders and sets-up food and beverages, ensures meeting area is clean, has appropriate supplies, and is ready for guests prior to arrival.

  • Arranges travel, buys/orders gifts, coordinates events.

  • Handles all forms of communication, prepares documents and reports, takes and distributes meeting minutes.

  • Files and organizes documents, forms, reports, and other related information.

  • Filters and prioritizes messages, responds as appropriate, and determines when to escalate.

  • Conducts research, track projects, and follows up on deliverables.

  • Compiles information and prepares reports.

  • Manages records and files, often of a sensitive and confidential nature.

Education and Qualifications

  • A minimum of five (5) years' experience in a related administrative support positions normally required.

  • A high school diploma or equivalent with an emphasis in business curriculum required. Bachelor's degree in Business Administration or related field preferred.

  • Proficient use of Microsoft Office Suite required.

  • Excellent verbal and written communication skills; organizational skills and attention to detail, time management skills with a proven ability to meet deadlines.

  • Ability to function well in a high-paced and at times stressful environment.

  • Ability to maintain strict confidentiality, work well under pressure, and able to meet deadlines required.

  • Regular and predictable attendance is required.

  • Financial Services Industry experience preferred.
