Overview

The Executive Assistant provides executive support to the Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development and serves as the primary point of contact for internal and external stakeholders.

Responsibilities

  • Completes a broad variety of administrative tasks for the Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development including managing extremely active calendars of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.

  • Plans, coordinates, and ensures the Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development's time and office.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

  • Responsible for event coordination, including reserving onsite and offsite venues, restaurant private room rentals, catering, company-wide events, and lunches.

  • Works closely and effectively with the Senior Vice President, General Counsel and Corporate Secretary and the Senior Vice President of Corporate Development, to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects.

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

  • Maintains discretion and confidentiality in relationships.

Qualifications

  • Strong work tenure: 10 years of experience supporting Executives.

  • Bachelor's degree required.

  • Excellent working knowledge of Excel, Word and PowerPoint.

  • Professional telephone manner, directing all calls appropriately and taking accurate and complete messages.

  • Maintain confidentiality of all information.
