About the Role:

Reporting to the Manager, Executive Administration. Our Executive Assistant provides high-level administrative support for the executive leadership team and his/her reports. In this role, you will have the ability to enhance the effectiveness of the senior executive team and business leaders by scheduling meetings, planning business trips, answering phone calls, managing information requests, preparing reports and presentations, and pro-actively anticipating the needs of the executive team and business leaders. The Executive Assistant will also handle sensitive and confidential information, which requires discretion and diplomacy.

  • Manages the schedules of the executive leadership team and his/her reports by planning and coordinating meetings, teleconferences, and travel arrangements Conserves time for executives and business leaders by handling phone calls, routing correspondence, drafting letters and documents, collecting and analyzing information, and creating professional presentations Assists in the coordination of Board of Directors meetings, materials, and communications as needed Coordinates the on-boarding processes to include submitting SysAid tickets and ensuring that equipment and other necessary items are provided to incoming new hires Coordinates the interview schedules and travel arrangements for potential candidates Greets guests, candidates, and co-workers in a welcoming and friendly manner, both in person and on the telephone Initiates oral and written responses to routine inquiries independently Manages expense reporting and reconciliation through the company's expense management system Oversees multiple projects through to completion within defined timelines Works independently under general direction with the ability to prioritize work and organize time in a fast-paced, team-oriented environment Maintains office supplies inventory by checking stock to determine inventory level and anticipating needed supplies Ensures operation of equipment by completing preventive maintenance requirements and submitting requests for repairs Must be able to handle interruptions and other unexpected events and make necessary adjustments in a poised and professional manner Maintains current knowledge of major department/business unit functions and policies Must possess strong interpersonal skills and effectively maintain collaborative and productive working relationships Periodically be able to work after hours on short notice Performs additional duties and responsibilities as assigned.


Educational Requirements:

Associates or Bachelor's degree preferred; High School education or GED equivalent required.

Certified Professional Secretary preferred.

Required Skills and Abilities:

  • Advanced knowledge of software applications including Microsoft Outlook, Word, PowerPoint, Access, Excel, Internet, Concur and other web-based applications.

  • Minimum of 5 years of administrative support experience supporting C- Level

  • Demonstrates effective written and verbal communication

  • Demonstrates ability to solve problems related to specific tasks with minimal

  • Demonstrates accuracy, attention to detail and ability to proof one's own work as well as the work of others

  • Demonstrates ability to handle multiple tasks, which may involve competing deadlines; including the ability to assess and prioritize work activities

Supervisory Responsibility: No supervisory responsibilities.

TRAVEL REQUIREMENTS: No travel required.

WORK CONDITIONS: General office environment. Currently working remote.

Required Qualifications * 3-5 years' of Operations and Executive Assistant experience, supporting senior level leaders/executives. * Work independently in an effective and efficient manner. * 2+ years of project management experience; the ability to manage multiple projects simultaneously with minimal oversight. * The ability to use the internet and various web browser/live meeting software required; also, intermediate experience with all products MS Office 365 Suite. Software efficiency update research and implementation experience. * Implement structure, processes and efficiencies. * Strong ability to execute work with a diversity, equity, and inclusion lens. * Significant executive support experience, including supporting C-level executives. Hold executive accountable in meeting company goals. * Ability to recognize and understand organizational issues and minimize distractions for CEO. * Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials. * Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications). * Strong verbal and written communication skills. * Exceptional organizational skills and impeccable attention to detail. * High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners. * Make appropriate, informed decisions regarding priorities and available time. Desired Qualifications * Bachelor's degree; MBA a plus but not required. * People savvy.
