We are currently seeking an experienced, full-time Executive Assistant to join our growing team. Our ideal candidate is a highly organized professional who thrives in fast-paced environments, enjoys supporting leadership, and is passionate about fostering a positive team culture. This role will work directly with the agency partners and will play a vital role in the coordination of internal operations, events, and strategic meetings. The Executive Assistant is expected to manage multiple responsibilities efficiently, from handling expense reports and travel arrangements to overseeing cultural and community events on behalf of MassMedia. We are looking for someone who is not only comfortable managing administrative tasks but also adept at event planning, internal communications, and proactive problem-solving.

Your Responsibilities:

Partner Support:

  • Provide comprehensive administrative support to agency partners, acting as a primary point of contact for internal and external stakeholders.
  • Manage expense reports for partners, ensuring accuracy and timely submission.
  • Coordinate travel arrangements for partners and agency staff, including booking flights, accommodations, and transportation.
  • Order and retrieve lunches for partners and team members during key meetings.

Event Planning & Management:

  • Oversee and execute all aspects of agency events, including cultural initiatives, team-building activities, and community engagement events.
  • Coordinate logistics, manage budgets, and ensure successful event execution that aligns with the agency’s brand and goals.

Meeting Coordination:

  • Schedule internal meetings across departments and for the Senior Management Team (SMT).
  • Prepare agendas, track meeting goals, and distribute action items for SMT meetings.
  • Follow up with team members on monthly deadlines related to client KPI trackers, scorecards, and other key deliverables.

Administrative Duties:

  • Handle a variety of additional EA tasks as required by partners.
  • Maintain calendars, prioritize conflicting needs, and ensure that the partners’ schedules are followed and respected.
  • Serve as a "gatekeeper" and "gateway," ensuring effective communication between partners and internal/external contacts.
  • Order and maintain office supplies as needed for executive team operations.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role, preferably within an advertising or marketing agency.
  • Strong organizational skills with the ability to multitask and manage competing priorities under tight deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.
  • Strong judgment, discretion, and the ability to handle confidential information with integrity.
  • Proactive mindset with a "can-do" attitude, capable of working independently and as part of a team.
  • Event planning experience is a plus.
