Maravai LifeSciences is seeking an Executive Assistant to join our growing team. The Executive Assistant must be proficient in all aspects of corporate administration, including having exceptional skills for managing active calendars of appointments, managing cost center budget, meeting coordination and event management, composing, editing and preparing correspondence which will include confidential information, arranging complex and detailed travel plans, itineraries, agendas for both domestic and international travel. This person will serve as the primary gatekeeper and point of contact for inbound calls to the Executive team members. In addition, this person may be asked to help coordinate company- wide events and communications, and coordinate with third parties on such activities.


  • Completes a broad variety of administrative tasks: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; and coordinating/ organizing both domestic and international travel.

  • Ensures a high standard of service and confidentiality to stakeholders, shareholders and corporate partners is maintained and enhanced. Provides a bridge for smooth communication. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

  • Adapts and adjusts to a rapidly changing environment where priorities are shifting daily.

  • Attend staff and department meetings and assist in administrative management of the meetings; this includes arranging and establishing video conference connections, support in preparing agendas, and generation of meeting summaries as required.

  • Ability to effectively represent the company in external settings (collaborators, partners, conferences).

  • Seeks out, builds, and maintains trusting and collaborative relationships and alliances with others inside and outside of the organization.

  • Extensive experience in providing C-level support and assistance at the highest corporate levels. 10+ years supporting executives at the C-suite level is preferred or equivalent.

  • Demonstrated relevant experience with Microsoft Office Suite and a general understanding of IT technology.

  • Experience assisting with Public Relations activities a plus.

  • Excellent organizational, record keeping and communication skills (oral and written).

  • A strong work ethic to generate high quality work under tight deadlines.

  • Must have a can-do attitude, be resourceful, and have an approachable demeanor.

  • Ability to anticipate and be proactive is critical (see the potential train wreck coming and step in to fix without direction from someone).

  • Experience working within the biotechnology or life sciences sector desired.

  • Diploma, college degree preferred or other relevant qualifications.

This includes planning and scheduling meetings and appointments, organizing and maintaining paper and electronic files; managing special projects; conducting research; and collecting information by using the telephone, mail services, websites, and email. All duties are performed in accordance with department guest service standards and MGM Resorts International policies, practices and procedures.</p><p>PRINCIPAL DUTIES AND RESPONSIBILITIES:</p><ul><li><p>Provide general office support to Senior Leaders on an as needed basis and perform related duties as required and assist in a variety of office operations; perform special projects and assignments as required</p></li><li><p>Type documents to include correspondence, presentations, forms, reports, etc.</p></li><li><p>Schedule meetings and conference calls; organize detailed international and domestic travel ranging from air and hotel reservations to passport and visa applications</p></li><li><p>Handle situations where independent judgment is exercised, thereby relieving the Executive of extraneous matter; screen incoming calls and either assist caller when appropriate, forward calls that can be handled by others</p></li><li><p>Maintain confidential files and honor the integrity of all information</p></li><li><p>Manage and prioritize heavy volume of e-mails including archiving and retrieval</p></li><li><p>Reconcile expenses and submit reimbursable items for processing</p></li><li><p>Update and maintain Executive's business associate contact details and arrange Executive's business associate's hotel, restaurant, and airline reservations</p></li><li><p>Perform other job-related duties as requested</p></li></ul><p>SUPERVISION:</p><p>None</p><p>MINIMUM REQUIREMENTS:</p><ul><li><p>High school diploma or equivalent</p></li><li><p>Two years+ of Executive Assistant experience</p></li><li><p>Work varied shifts, to include weekends and holidays</p></li></ul><p>PREFERRED:</p><ul><li>Experience working in a similar resort setting</li></ul><p>CERTIFICATIONS, LICENSES, REGISTRATIONS: N/A</p><p>KNOWLEDGE, SKILLS, AND ABILITIES:</p><ul><li><p>Working knowledge of Cliqbook/Concur travel system and Infor Expense Management system</p></li><li><p>Able to effectively communicate in English, in both written and verbal forms</p></li><li><p>Ability to to make sound decisions immediately without supervision</p></li><li><p>Ability to multi-task and work well in a fast paced, team-oriented environment</p></li><li><p>Proficiency of computer software to include Outlook, MS Word, Excel, and PowerPoint as well as office equipment, i.e. telephone, copier, fax machine</p></li><li><p>Excellent organizational skills to function effectively under time constraints and within established deadlines, with particular attention to detail</p></li><li><p>Effective listening abilities with strong judgment skills</p></li><li><p>Excellent customer service skills and interpersonal skills to effectively communicate with all business contacts</p></li></ul><p>WORKING CONDITIONS:</p><ul><li><p>Work is performed in an office environment</p></li><li><p>Work varied shifts, including weekends and holidays</p></li></ul><p>Location:</p><p>US, Nevada</p><br> MGM Resorts San Diego CA
