Our real estate investment client is seeking an Executive Assistant to support the Chairman. Position Overview : Responsible for proactively managing the Chairman’s calendar and communications including coordination, execution and prioritization of daily to do list.

Provide high-level administrative assistance and support to senior management and office personnel in a family-owned business. Write, prioritize and edit emails, prioritize and screen phone calls, draft memos, and prepare communications on the executive team’s behalf. Gather documents to prepare for meetings and coordinate travel arrangements and testing requirements.

Manage the Chairman’s duties related to Boards affiliations. Support Board Members when needed. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Chairman, including those of a highly confidential or critical nature.

Organize meetings, including scheduling, sending reminders and writing agendas. Proactively manage personal assets, coordinate the arrival of the Chairman’s family at vacation homes and manage the maintenance and registration of personal vehicles. Provide independent solid judgement and initiative on sensitive assignments and deadlines.

Qualifications : Exceptional verbal and written communication and organizational skills; commitment to achieving a high level of accuracy and attention to detail. Ability to take dictations and edit drafts in a timely manner. Ability to demonstrate a high degree of integrity, loyalty and security measures while handling sensitive and confidential information.

Ability to handle difficult situations with grace and a positive demeanor; cope and overcome stress in a fast-paced work environment. Proficiency with computer platforms (Zoom); solid experience with Microsoft Office. Ability to maintain organized password logs and troubleshoot phone and computer accessibility issues with a quick turnaround.

Ability to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines. Demonstrated ability to take initiative, anticipate needs and exercise sound judgment. Ability to work overtime or off-hours as necessary. Requirements : Bachelor's degree or higher education, with evidence of academic or other intellectual distinction Ability to communicate clearly and concisely, both verbally and in writing Strong research and analytical skills Willingness to enthusiastically complete both high-level and low-level tasks Exemplary references Five (5) Plus years of relevant experience.
