Position Overview

This position provides critical, day-to-day administrative support for an executive including but not limited to calendar management, travel arrangements, office management, tracking & submission of expenses, creating & updating documents, supporting with presentations, and communicating with a host of internal colleagues & external partners. The position resides within a fast-paced environment where multi-tasking, juggling and managing a number of discrete tasks are critical to success.

Essential Duties & Responsibilities

Manage phone and messages according to each executive's preference.

Attend meetings to take notes as requested.Order supplies for copy room, supply closet, and kitchen, contact servicing for copy machines when needed, manage 19th floor conference room schedule and general upkeep, create work orders on Service Point when needed for IT or facilities issues affecting the floor/teamAssist executives team with weekly and daily reports, running analysis from micro strategy and ad hoc projects Prepare written materials as requested, i.e. memos, meeting agendas, PowerPointsFollow up with executives' teams/colleagues on outstanding information/ materials as requested.Ensure executives' Contacts, organizational charts and other key information are always updated.Coordinate all travel arrangements for team with careful oversight of internal Travel department; ensure travel plans are aligned with others on the same trip to the extent possible.Handle timely submission & tracking of expenses on each executive's Corporate credit card with Accounts Payable; this involves ensuring timely approval of expenses by executive's manager.Provide day-before view of the calendar in order to allow executives to be well prepared for the next day's requirements & deliverables; this daily view must have all meeting locations, contact numbers and any other relevant details. Ensure executives are timely for meetings.Handle Outlook calendar which involves frequent adjustments and updates throughout the day, scheduling & confirming of all internal & external meetings and conference calls.

Experience, Skills & Knowledge

College degree.

Minimum of 3 years of experience

Previous role(s) in administrative or other support function in a fast-paced environment.Familiarity or interest in fashion, marketing, or digital industries.Exceptional organizational skills, follow through and attention to detail.Solid experience and comfort level with Outlook, Word, Excel, PowerPoint, and Keynote software.Strong written and verbal communication skills including professional phone manner.Mature, professional demeanor & comportment.Self-confidence balanced with respect in dealing with people at all levels.Confident and poised with good judgment and understanding of when to resolve something independently versus when to ask for guidance.Self-motivated and resourceful.Natural juggler and multi-tasker who is energized by a lot going on simultaneously.Good listener and note taker.Positive, solution-oriented.Sense of curiosity and desire to learn.Ability to apply guidance/direction from one task to another similar task.Natural tendency to connect the dots from one assignment or piece of information to the next.Anticipates needs and stays one step ahead.Friendly, collegial. #LI- KC1

You will be supporting senior Creatives with managing all of their day to day business needs. The candidate will exercise considerable discretion and good judgment, as well as an ability to interface and work with senior-level business leaders and their teams. The ideal candidate will be experienced in handling a wide range of administrative tasks and be able to work independently and confidently under pressure. Experience in an agency environment, be that advertising, digital, PR, design or other marketing services businesses, would be beneficial. Responsibilities Heavy Complex Calendar Management (must enjoy puzzle piecing!). Extensive detailed domestic and international travel itineraries for business. Coordinate executive communications, including taking calls, responding to emails and interfacing with clients. General ad hoc tasks and projects when appropriate including administrative support, i.e., typing letters, creating decks, collating status reports, meeting minutes and agendas. Monthly expense reports, invoicing, POs, and managing executive timesheets. Maintaining an organized filing system of paper and electronic documents, keeping Directors' desks organized, tidy and clutter-free. Keeping up to date with new restaurant, bar and social space openings. Back up for reception/other PA's as and when necessary, including holiday cover. Skills Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities and exceptional attention to detail. Absorbs pressure and gives off a calm and relaxed appearance to reassure and deal with difficult situations. Demonstrates quick thinking along with an understanding of consequences and impact of responsibilities on the business.
