Position Summary:

KIE has an immediate opening for a dynamic and flexible Executive Assistant based in Englewood, CO. We are looking for the ideal candidate to perform a variety of support tasks. The Executive Assistant should have 10+ years of experience in supporting management, be familiar with current technical tools/programs/software, and professional practices.

Key Duties & Responsibilities:

  • Provides administrative support to senior leader and his direct reports

  • Works closely with senior leader to keep him well informed of upcoming commitments and responsibilities, and following up appropriately

  • Serves as liaison between executives, managers, clients, and business partners as required

  • Heavy calendar and email management

  • Extensive travel arrangements (both domestic and international)

  • Event planning, including (secure meeting location, hotel contracts, catering, budget planning)

  • Support the coordination for meetings, conferences, and events (both internal and external)

  • Document management using SharePoint and other tools

  • Completes expense reports on a timely basis for leaders in department as needed

  • Assist with presentation preparation

  • Prepares confidential correspondence, reports and presentations, using MS Word, PowerPoint and Excel spreadsheets. Researches and extracts data from various resources and systems

  • General administrative duties including expense reconciliation, answering phones, ordering supplies, drafting business letters and correspondence

  • Greet visitors, organize and arrange meetings, schedule conference rooms, and set up catered meals

  • Provide additional administrative support when required; other projects as assigned

  • Develops and maintains good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers

  • Provides backup support to other executive assistant and administrative staff

Qualifications:

  • 10+ years supporting Senior Vice President level or above

  • Experience supporting multiple leaders concurrently

  • Engineering or construction firm experience desired, but not required

  • Exposure to Sales/Business Development desired, but not required

  • Availability to work extended hours and some weekends on occasion

  • Ability to travel on occasion

  • Experience working and communicating with both internal and external senior executives and their administrative assistants

  • Strong sense of business acumen

  • Must be a positive, pro-active, strong team participant with the ability to maintain strict confidentiality

  • Experience using Concur (both for Travel and Expense)

  • Ability to manage multiple conflicting priorities simultaneously

  • Maintains stable performance under pressure, handles high workload and stress in a manner that is acceptable to others and to the organization

  • Good time management skills

  • Ability to work independently with minimal supervision

  • Confidentiality is a must (need to say something about being exposed to confidential information and how being able to keep information confidential is a must)

  • Detail-oriented perspective with excellent planning and organizational skills

  • Ability to anticipate needs of executives and act upon them accordingly

  • Proficient in Microsoft Office products including Word, Excel, PowerPoint, Visio and Sharepoint

  • Familiarity with Adobe products including Acrobat and InDesign a plu

  • Experience planning meetings in a fast-paced environment

  • Excellent communication skills (verbal and written) and comfortable presenting

  • Excellent organizational and time management skills

  • Ability to multi-task and prioritize

  • Detail-oriented with strong analytical skills

  • Ability to work well with others in all capacities within the company

Working Conditions:

Fast-paced office environment; must be able to interact professionally with all levels of management while simultaneously manage a diversified workload and challenging situations efficiently and effectively; regularly sit, stand, walk and talk and listen; occasionally lift and move up objects up to 30 pounds.

The Office also leads the effort to craft health policy for the state, improve access and outcomes for the Members we serve and reduce costs associated with Medicaid and CHP, while improving access and outcomes for the members we serve. The Executive Director's Office (EDO) houses the Chief of Staff team, Strategy Section, the Health Care Affordability team and other key staff. The Executive Program Support unit provides administrative support for the EDO leadership and is responsible for ensuring that the ED is able to focus on critical duties and functions. Description of Job What You'll be Doing This position exists to support Department leadership in the Executive Director's Office (EDO), including but not limited to the Executive Director, Chief of Staff, and Deputy Chief of Staff. Duties are below, including but not limited to: * managing confidential information which requires discretion, prioritization, diplomacy and sound judgment; * managing the flow of communication and information between the Executive Director's Office (EDO) and the Governor's Office, the Legislature, and other state agencies and institutions; * ensuring that matters concerning the office are efficiently and effectively brought to the ED or members of the Leadership Team for attention and/or action; * work with ED and EDO leadership to review calendar for accuracy, review evolving priorities and verify/adjust appointments to ensure goal achievement * acting as the point of contact and handling logistics and agenda preparation for executive-level meetings; Leadership Team meetings and the like; * preparing and submitting expense reports for the ED and EDO leadership in accordance with state and department policy * producing and editing correspondence, reports and other documentation, often synthesizing complex information; * managing and coordinating projects on behalf of the ED and EDO Leadership; * receiving visitors and scheduling appointments, meetings and appearances for ED and EDO leaders; * coordinating scheduling matters between HCPF Senior Staff, Governor's office, elected officials, other agencies and partners/stakeholders; * making travel arrangements for ED and EDO staff; * preparing materials for ED and EDO staff in advance of scheduled meetings and ensuring ED and EDO staff have all handouts and presentation material in advance of meetings; * verifying executive calendars in advance to ensure executive preparedness at all times; * responding to general inquiries on behalf of the office and ED; * acting as a role model for open communication and values-based culture; * working in conjunction with the division directors, implementing and evaluating the effectiveness of customer service within the Executive Director's Office. * filing, organizing and locating work for the ED and EDO staff.
