The Executive Assistant is a member of the Research team and will play a critical role in the scheduling, organizing, and preparing internal and external meetings.

The ideal candidate will bring enthusiasm, diverse experience and skills, and collaborative spirit to a high-performing team. They will be comfortable with ambiguity, flexible with performing diverse tasks, and thrive in a fast-paced, dynamic environment.

This is a hybrid position based out of the NYC office.

Specific Responsibilities

  • Coordinates and manages the daily schedules of the Chief Scientific Officer (CSO) and Chief Medical Officer, International (CMO-I)

  • Support the Chief Scientific Officer and Chief Medical Officer by performing various administrative tasks (i.e., meeting logistics and event management by coordinating attendance, function dates and times, reserving meeting space, providing the appropriate equipment/materials and hospitality services, global travel arrangements, detailed itineraries and expense reimbursements)

  • Serve as gatekeeper and point of contact between CSO/CMO-I and internal/external colleagues

  • Processes and manages expense reports and credit card statements for the CSO, CMO-I, and other select senior team members

  • Provides specific project-based support, as needed

  • Assist with onboarding and departure of departmental staff

  • Perform various other administrative tasks as needed, such as expense reporting, invoice processing, etc.

Qualifications

  • College degree or equivalent experience required

  • At least 10 years of experience in executive administrative support in a professional work environment

  • Exceptional proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, and Teams

  • Excellent written and oral communication skills

  • Strong organizational skills

  • Ability to multi-task, establish priorities and work in a fast-paced environment

  • Demonstrated sense of urgency and accountability

  • Flexible, warm, and upbeat attitude

  • Ability to build trusted relationships and maintain positive working relationships across the organization

Target salary - $70k - $90k

The employee must occasionally lift and/or move up to 25 pounds, and infrequently up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.

The noise level in the work environment is usually moderate.
