Our client, a biotech in Philadelphia, is seeking an Executive Assistant to join the team and support their CEO & President.

This position will be responsible for providing high-level, anticipatory, comprehensive, executive support to the President & CEO with professionalism and confidentiality. The ideal candidate will be able to work in a fast-paced, high energy and team-oriented environment.

Duties Include, but are not limited to:

  • Communicates directly and on behalf of the President & CEO with their staff, clients, and other business partners.

  • Manages the Executive's schedules. Accurately and efficiently organize meetings and appointments. Serves as a liaison, initial point of contact, and gatekeeper.

  • Attends meetings and other events. Serves as the administrative liaison with discretion and confidentiality. Collects, organizes, records and distributes minutes and other pre/post-meeting materials, complying with applicable rules. Ensures deliverables are completed accurately and on time. Prioritizes, addresses, and resolves issues and concerns.

  • Conducts research and prepares reports and presentations as well as maintains files, records, and correspondence for meetings. Handles confidential information and maintains confidentiality.

  • Reviews redlined agreements.

  • Facilitates internal contract approval, signatures, and tracking through DocuSign.

  • Conserves the President & CEO's time by reading, researching, and routing correspondence. Prepares correspondence and documents in the executive's voice. Initiates and responds to calls/correspondence/email in a timely manner.

  • Oversees day-to-day administrative tasks including expense reports, etc. Organizes and maintains files.

  • Arranges travel, transportation, accommodations, entertainment, and other related activities, maintaining required travel-related information from the President & CEO and other travelers on file. Prepares and distributes itineraries and all correspondence related to the arrangements. Follows up and confirms details.

  • Organizes meetings, dinners, presentations, conferences, company-wide events, and special projects. Independently plans and executes all logistics and details according to size and importance (e.g., room selection, seating arrangements, tent cards, supplies, IT support, materials, refreshments including guest dietary preferences, transportation, communication, security, virtual meeting management and hosting, etc.).

  • Manages office administration duties for all staff including office management, inventory and purchasing, and serving as the liaison with related property management service groups and vendors. Develops and implements office management policies.

  • Collaborates and communicates with other departments, staff members, business partners, clients, and organization members as needed.

Qualifications:

  • Excellent verbal and written communication skills.

  • Proficient in MS Office and virtual meeting applications. Adept at quickly mastering new systems and technology.

  • Detail-oriented, organized, motivated, meticulous, practical & flexible. Able to effectively handle multiple and shifting priorities and maintain professional composure.

  • Excellent interpersonal skills; able to develop relationships with coworkers, business partners and colleagues.

  • High school diploma, or equivalent, required. Bachelor's Degree preferred.

  • Minimum of two years' experience supporting C-level executives with highly detailed and sophisticated administrative, organizational, and communication skills.

  • Experience working in pharmaceutical or medical device industry a plus.
