Reporting directly to our C-Suite Leadership Team (Chief Executive Officer, Chief Risk and Compliance Officer, Chief Development Officer), the Executive Assistant provides executive support in a working relationship serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Offices of our C-Suite Leadership Team,. The Executive Assistant also serves as a liaison to equity partners and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission and results driven. The Executive Assistant will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
1.Complete a broad variety of administrative tasks for our C-Suite Leadership Team including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling meeting documents.
2.Plan, coordinate and ensure that our C-Suite Leadership Team's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating "win-win" situations for direct access to our Leadership team.
3.Research, prioritize, and follow up on incoming issues and concerns addressed to the C-Suite Leadership Team, including those of a sensitive or confidential nature with recommendations for appropriate course of action, referral, or response.
4.Provide a bridge for smooth communication between our C-Suite Leadership Team's offices and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
5.Work closely and effectively with the C-Suite Leadership Team to keep all parties well-informed of upcoming commitments and responsibilities and following up appropriately.
6.Act as a "barometer," having a sense for current Company issues and updating the C-Suite Leadership team accordingly.
7.Provide leadership to build relationships crucial to the success of the Company and manage special projects for the C-Suite Leadership team.
8.Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the C-Suites ability to effectively lead the Company.
9.Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to ensure successful completion.
Participate as an adjunct member of the executive team including assisting in scheduling meetings and/or attending meetings, maintaining meeting minutes, etc.
Assist in coordinating the agenda of senior management team meetings as well as off-site meetings, and all-staff meetings.
Facilitate cross-divisional/departmental coordination of travel and outreach plans.
Ensure the C-Suite Leadership Team's biographies are kept updated and respond to requests for materials regarding its owners and investors, and the organization in general.
Edit and complete first drafts for written communications to external stakeholders.
Assist with reviewing vendor and customer contracts and establishing timelines and processes for approval and renewal of each contract.
Work with the external sources and business development teams in coordinating the Company outreach activities.
Follow up on contacts made by the Team and support the cultivation of ongoing relationships.
Perform all other position related duties as assigned or requested.
An Associate degree, with five years of office administration/management experience in a transportation and logistics business operation preferred. Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners. Ability to use discretion with confidential information and work with a sense of urgency to meet deadlines. Excellent computer skills and Microsoft Office Suite experience. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Highly resourceful team-player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
