What You Do
Managing the Executive’s Schedule

- Set them up for success in their daily activities by strategically managing access to their time and attention

-Proactively manage complex calendars and remain flexible to multiple changes

- Coordinate calendars with other team members

- Provide high-quality support while anticipating needs

- Print out daily/weekly schedule and review

- Arrange travel as required

- Set up meeting rooms and organize materials

- Provide rock solid general administrative support (checking voicemail, expense tracking, ordering supplies, shipping items etc.)

Company Strategy and Growth

- Work closely with Executive to prioritize important projects, provide frequent updates, and ensure completion

- Work collaboratively with team members to ensure proper coordination of company projects

- Coordinate and attend meetings, take notes, capture follow up items

- Prioritize people and situations in need of attention

- Troubleshoot and anticipate needs

-Provide monitoring and follow through support on action items in progress

- Work with discretion and tact when exposed to personal and confidential information

Building and Managing Relationships Between Executive, Clients and Company

- Provide direction, advice, information, support, and confidence to Executive through daily communication and reporting

- Project a professional and supportive image to all clients

- Follow up with clients and contacts by telephone and email

- Act as a liaison between Executive and clients (set up and confirm appointments, take and review meeting notes, follow-up on action items etc.)

- Enter and maintain information in our databases on a daily basis

- Respond to correspondence for Executive

What You Have

- 3+ years’ Executive Assistant experience

- A university or college degree

Position Overview: Bulletproof is looking for an Executive Assistant to support the Office of the CEO. This person should have a strong entrepreneurial spirit to help us build a world-class company and grow our knowledge base. On a day-to-day basis, the Executive Assistant (EA) will work as part of an administrative team providing high level, proactive administrative support for the CEO, Director of Strategy and Sr EA, including calendaring, email management and other administrative responsibilities. The ideal EA will have a flexible and enthusiastic attitude, will be highly organized and have a detail-oriented instinct. The ideal EA will have the proven ability to work autonomously, handle multiple tasks while effectively prioritizing in an ever-changing, fast-paced environment. The EA will be expected to demonstrate strong business judgment, professional etiquette and organizational, analytical and problem-solving skills. The EA will also have an interest in learning more about the business, taking on more non-administrative responsibilities, and finding opportunities to make an impact across the company. Key Responsibilities: * Provide complex and diverse high-level administrative support to CEO and Director of Strategy; ensure organized and efficient operations. * Help manage and maintain busy calendar; respond to meeting requests that require frequent re-prioritization. * Proactivelyprovide support and anticipate the needs of the executives. * Manage the calendars proactively to make effective and efficient use of the executives' time. * Handle sensitive business and confidential information with discretion, tact and diplomacy. * Proactively seek ways to streamline office processes and leverage best practices that build on our collaborative work environment. * Execute a wide range of administrative projects including planning meetings, tracking team projects, booking and managing travel logistics and processing expense reports. * Seamlessly coordinate and track multiple tasks as assigned.
