InfoPeople Corporation is currently seeking an Executive Assistant with our direct client in their New York City, NY location. This is a 12+ month contract position.

Looking for only local candidates.

Summary of the Function/Role:
Prior experience supporting director or other high level executives is required. Supports executives and administrative staff in general office duties and defers all significant decision making to management. Requires a high level of professionalism and business etiquette. Due to the confidential and sensitive nature of information to which the Executive Assistant may be exposed, discretion is required. Position calls for initiative, independence, and compliance. Must be able to learn quickly and to engage in a number of detailed tasks at once. Must have strong flexibility in regard to the duties assigned, and the hours necessary to complete them.

Program Manager and Executive Assistant will perform administrative and project management functions with independent judgment, initiative and discretion. Duties/Responsibilities: Administrative & Communications: Scheduling day to day meetings Filing and keeping office organized Taking notes at specific meetings for me with clear action steps (and sending to participants) Scheduling Travel and submitting for reimbursements Solving all sorts of problems that arise (e.g., need key for outside door, ordering food for meetings, getting me briefings etc) Sending monthly emails on behalf of the Deputy Director for Research/Vice Chair Planning and preparing meetings for the Deputy Director for Research/Vice Chair, including but not limited to, preparing power point slides and setting up Audio Visual equipment Work with other departments and divisions closely Continuously update the Psychiatry website Providing executive-level support for the Deputy Director for Research/Vice Chair Resolving problems independently Screening all incoming calls, e-mails, mail and visitors Handling or redirecting contacts and communications not requiring the immediate and personal attention of the Vice Chair/Deputy Director for Research. Project manage: Assist Deputy Director for Research/Vice Chair in projects including but not limited to: Peer review process VC bi-annual forums Internal grant submission process (eg., organizing committee and reviews) Recruits/retentions Yearly Surveys to research faculty Research cabinet (and following up as need be) Organizing/assisting with Special meetings The incumbent will work with department leadership, faculty and staff: communicating with research divisions, core research facilities, and research ethics committees on behalf of the Deputy Director for Research/Vice Chair, obtaining, organizing and preparing data for presentations and analysis, managing performance appraisals, and time and accrual records, scheduling meetings and appointments, advising attending parties of subject matter and providing required material; assisting with coordinating and organizing departmental activities, ordering office supplies and maintaining office equipment. Minimum Qualifications: Bachelor's degree, plus four years of related experience. College degree or background must be in Science. Strong interpersonal and organizational skills are required along with the ability to take initiative and exercise excellent judgment. The incumbent must prepare and edit written material accurately and must be able to meet deadlines, handle multiple project simultaneously, and prioritize tasks. Excellent writing, proofreading and editing skills are required. Must be proficient in business software applications (Outlook, Excel, Word, PowerPoint) and be comfortable with new technologies and software. Strong recommendations required.
