Are you an experienced professional who is detail-oriented, exercises discretion, and enjoys working in a fast-paced environment? The Office of the Provost is seeking an administrative professional for the next great member of our team. As an Executive Assistant II, you will provide dedicated assistance to the Provost while also serving as the assistant to the Chief of Staff. Our ideal candidate will possess exceptional organizational skills, be an effective communicator, and be committed to fostering a positive and collaborative atmosphere within our office. Each day will be rewarding as you provide support to high-level administrators including monitoring action items, creating meeting agendas and preparing communications on the executive's behalf, assisting the Office of he Provost as we empower and nurture Aggies to succeed in experiential and transformational education and discovery to meet the needs of a complex world through the strategic development, effective delivery, and strong support of excellent academic programs and services.

Essential Duties/Tasks

  • Executive Support
  • Provides direct support to the Chief of Staff within the Office of the Provost to include long-range planning and daily activities. Supports the Chief of Staff as an assistant to include coordination of calendars, schedules meetings, drafting memos, and preparing communications. Drafts and manages correspondence and communications, attends meetings on behalf of supervisor, and evaluates documents submitted. Plans and coordinates logistical and administrative support for events, meetings, or other special functions and provides on-site support.
  • Administrative/Office Support
  • Serves as an Office Manager ensuring adherence to office procedures and facilitates day-to-day administrative functions. Engages customers, stakeholders, and campus partners in troubleshooting and problem-solving efforts. Proactively seeks to support and assist other leadership in the suite and build effective relationships with internal and external stakeholders in daily operations.
  • Event Support for Provost
  • Coordinates with event host to ensure schedule and event details where the Provost is a guest and/or speaker. Coordinates with the marketing team to ensure the Provost's remarks for events are prepared. Attend events with the Provost to coordinate day-of details and troubleshoot issues and may perform other duties as assigned.

Required Education and Experience

  • Bachelor's degree or equivalent combination of education and experience

  • Four years of experience in office administration.
