Position Purpose

The Executive Assistant plays an integral role in our fast-paced, high-growth organization. This role operates as the primary partner to the SVP, Chief Operations, Supply Chain and Lean Officer and SVP, Chief Information Technology Officer. This role is responsible for managing the day-to-day support needs, as well as contributing to the SVPs' efficiency and effectiveness through insight, planning, and agility. We are seeking a professional who thrives in a results-driven, fast-paced environment, who can juggle multiple priorities, and who can exercise creativity and good judgement in a variety of situations.

Primary Responsibilities

  • Leverage knowledge of business operations & priorities across the Supply Chain and IT teams to proactively manage SVPs' time and communications.

  • Plan and organize travel, proactively anticipating and managing travel-related issues.

  • Plan meetings and events to include preparation of the agenda, logistics, and materials.

  • Operate as a liaison between leaders, team members, and cross-functional partners.

  • Create and collect content to compile PowerPoint presentations and communications.

  • Partner on special projects as needed.

  • Effectively manage upcoming priorities and ensure the leaders are prepared to accomplish objectives.

  • Exercise judgment and resolve complex and/or sensitive issues and requests independently

  • Display positive attitude, professional and patient demeanor, calm and confident in pressure situations

  • Strong attention to detail

  • Build cross-functional internal relationships, including partnering closely with other Executive Assistants.

Position Requirements

Experience

  • Previous experience supporting C-suite leaders at high-growth organizations.

Education

  • Four-year degree preferred or equivalent experience

Knowledge, Skills & Abilities

  • Effective communicator (clarity, spelling, dictation, oral)

  • Proficient in Outlook, Microsoft Word, Excel, and travel/expense systems. Skilled at creating professional and visually sophisticated PowerPoint presentations

  • Intellectually curious

  • Proven ability to organize, plan, juggle priorities, and overcome obstacles in a high-pressure environment

  • Proficient at learning and leveraging tools, resources, and networks to successfully get work done

  • Ability to identify and drive opportunities to drive efficiency

The candidate will have an understanding of general office procedures, ability to communicate effectively, solve intermediate level problems, assist with basic research, respond to department inquiries (including communication with external customers), assist with the development and administration of various departmental programs and reports, as well as perform administrative and office support activities for multiple managers and/or department. Job Duties - Some Examples of the job duties may include: * Planning and coordinating meeting arrangements including travel and lodging. * Calendar management of meetings and details for events and/or meetings for managers and/or for department. * Making arrangements for presentation materials and equipment and ensuring all event arrangements are handled. * Composing and producing documents, maintaining relevant databases and related records. * Updating and maintaining departmental websites. * Researching, analysing and summarizing data for reports independently. * Assisting with department budget, process expense reports, organize and maintain department filing systems and other records. * Answering phones; route callers, take messages, respond to inquiries; greet visitors; request and provide routine information as well as handles walk-in inquiries. * Communicating effectively, screening and prioritizing incoming calls. * Ordering supplies and equipment; making requests for repairs and services; monitoring and updating inventory, budget and account records. * Problem solving routine problems and communications where the response is based on existing procedures; * Responding to inquiries on departmental policies/ procedures. May have to research information to resolve problems or issues. * Typing and proofreading documents produced by others. * Creating, maintaining and collecting data for standard reports charts, graphs, spreadsheets and databases. * Being exposed to confidential information and handling confidential matters.
