Education:

Bachelors degree or higher with eight years of operational experience, and a track record of organizing and directing multiple teams and departments.

Experience:

Experience in a corporate pharmacy, health care, or insurance setting preferred. PowerPoint, Word, Excel software proficiency required. Applicant must be well organized, dedicated to quality, service oriented, and possess the ability to analyze and implement process improvements. .

The Executive Assistant will be responsible for executive level administrative support to the SVP & Chief Customer Officer. This position is an essential role in a broad range of activities necessary to drive and manage critical operational and strategic aspects of our growing company. Working closely with the CCO's leadership team, this person will support the execution of strategic initiatives through coordination, tracking, and monitoring of activities and deliverables for the CCO. Position requires excellent administrative and organizational skills, handling of the highest level of confidential information, and good public relations. Exercise discretionary powers and independent judgment that directly support management activities on a daily basis. Perform tasks under general supervision. .

Job Responsibilities:

  • Act as "thought partner" to the CCO.

  • Facilitate and manage a broad range of projects to help ensure attainment of strategic priorities consistent with corporate goals. Work with leadership team members individually and collectively on key business projects.

  • Represent the CCO in meetings, by email, and phone calls with internal and external stakeholders.

  • Support the CCO in meetings by taking notes and assuming responsibility for completion of action items.

  • Ensure timely and effective completion of projects and initiatives of the CCO.

  • Maintain accurate confidential files and data records.

  • Serve as liaison between staff, executives, senior leaders, and CCO, to ensure consistent communication and ensure involvement or decision-making at the proper time.

  • Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications.

  • Prepare presentations slides and documents, as well as presentation support materials

  • Maintain positive communications and rapport throughout the organization.

  • Maintain confidentiality and discretion at all times

  • Execute multiple tasks on a daily basis, to include prioritization and successful resolution

  • Prepare agenda and compile minutes as required for meetings

  • Prepare and distribution communications as required.

  • Conduct projects and participate in team activities to identify problems and improve work processes and systems

  • Responsible for Facilities Support

  • Participate in, adhere to, and support compliance program objectives.

  • Other related duties as assigned/required.

Our US-based Virtual Assistants (VA) strive to meet and exceed client needs and expectations.<br><br>The Virtual Assistant is a vital member of Zirtual. The VA is the main point of contact with clients and will work independently with the clients. The VA will receive support from their assigned Account Supervisor, who will assist the VA&lt;&gt;client relationship with plan modifications, questions, and provide feedback on quality, delegation issues, and more.</p><p><br>The VA will provide a high-level professional administrative service by working on tasks and projects as assigned by the client, and ensuring they are executed on time and to the highest level of quality. The VA is responsible for being the main point of contact for their assigned clients, and being familiar with each client’s needs and preferences. The VA must have consistent and proactive communication with clients and the Account Supervisors. Virtual Assistants are expected to be available for clients during defined East Coast (EST) or West Coast (PST) service hours of 9:00 am - 6:00 pm, send weekly usage reports, respond to all communication within a two-hour response window, maintain detailed and up-to-date client profiles, and follow all Zirtual internal policies and protocols.</p><p><br></p><p><strong>Essential Duties and Responsibilities:</strong></p><ul> <li>The VA may assist the client with:<ul> <li>Project management and organization-<ul><li>Facilitate on-time project and goal completion</li></ul> </li> <li>Personal and business calendar management-<ul> <li>Scheduling and coordinating appointments as necessary</li> <li>Proactively monitoring the client’s calendars to identify potential conflicts and ensure the team is maximizing the client’s time</li> </ul> </li> <li>Research-<ul> <li>This may include research on events, travel, projects, etc.</li> <li>Provide research results to the team members within an established time frame, based on best practices learned in Zirtual training and team preferences.</li> </ul> </li> <li>Purchases-<ul><li>Ensuring specifications of the purchase meet the client’s satisfaction.</li></ul> </li> <li>Expense reporting and organization of expenses as necessary.</li> <li>Administrative tasks-<ul><li>This may include but is not limited to: inbox management, calendar management, transcription, standard business correspondence, research, and data entry.</li></ul> </li> <li>Email inbox management-<ul><li>This may require, among other responsibilities, responding to and organizing emails as necessary, based on specific guidelines provided by the client and in line with Zirtual policies and practices.</li></ul> </li> <li>Social media management and marketing</li> <li>Attend meetings virtually-<ul><li>Draft agendas, take meeting minutes and provide follow-up as required.</li></ul> </li> </ul> <ul> <li>The VA must provide continuous clear communication about task status, needs, and questions to their clients.
