Our Powertrain Operations facility, located on Pilgrim Road in Menomonee Falls, WI, is where the "jewel" of the motorcycle comes to life. Pilgrim Road employees produce engines and transmissions for the final assembly plant in York, Pennsylvania, as well as transmissions, and replacement parts for sale through Harley-Davidson Genuine Motor Parts and Accessories business. Job Summary

This position will perform all support and administrative duties and details for assigned functional area(s); constant internal and external contact with all levels, which requires the use of discretion and diplomacy; coordinating projects from time to time which require research and analysis and reports as directed; handling information of a confidential and sensitive nature; maintaining the department calendars, making business and travel arrangements, preparing others for up-coming meetings and events, and screening and routing calls. This individual will also prepare reports, presentations and other internal documents for the department. The position takes initiative and drives resolution of issues and observes organizational needs and creates opportunity for involvement and takes ownership.

Job Responsibilities

  • Provides administrative support, which includes preparing reports, letters, charts, and graphics. Responsibilities include mail sorting, meeting scheduling, filing, and ordering of supplies.
  • Actively seeks to improve level of service through implementing new programs. Resolves problems, and identifies alternate solutions. Provides customer service by being responsive to stakeholders' needs and the ability to research and professionally respond to requests on a timely basis.
  • Creates and maintains files/filing systems for projects and major departmental plans. Records Management: Responsible for creating and maintaining employee filing system.
  • Stakeholder liaison supporting company and/or departmental functions and actions such as setting up meeting space, coordinating and notification to meeting attendees, and facilitating as necessary.
  • Supports projects with document and presentation preparation. Maintains project files. Tracks project deadlines, related invoices and related communications to stakeholders.
  • Create, maintain, track, and provide continuous improvement of various company reports. Provide assistance/direction as needed on special projects which span cross-functional areas of the department/company.
  • Collaborates with peers to define, establish, and implement best practices and standardization across sites.

Education Requirements

  • High School Diploma or Equivalent Required.
  • Associate's degree or Bachelor's degree preferred.

Experience Requirements

  • Typically requires a minimum of 2 years of related experience.
  • Must have excellent computer skills in a Windows environment with a demonstrated proficiency with all Microsoft Office applications. SAP experience preferred.
  • Requires exceptional organizational, interpersonal, and customer service skills.
  • Must have excellent oral and written communication skills along with a desire to work in a team environment.
  • This position requires flexibility along with a tolerance of ambiguity and flexibility along with the ability to handle multiple assignments and assign appropriate priorities to ensure timely completion.
  • Must be able to effectively operate in and contribute to a team working environment. Ability to maintain confidential information is required.
  • Must show initiative, versatility, and problem-solving abilities.

The pay range shown represents the national average pay range for this role. Your pay may be more or less than the stated range and is dependent on your geographic location and level of experience.
