What is the Executive Assistant responsible for?
You will provide advanced executive assistance to the Chief Human Resources Officer and HR Sr. Management team. The Executive Assistant supports the CHRO in delivering superior, cost-effective service to customers, building the trust of all partners, clients, and shareholders, and protecting the best interest of HR.
What are the ongoing responsibilities of an Executive Assistant?
Ensure seamless communication between executive and Company staff or outside business contacts despite the executive having a very busy schedule of meetings and travel.
Provide superior customer service; greeting visitors, answering and directing phone calls, and answering routine and non-routine inquiries while demonstrating the highest level of professionalism.
Provide administrative support, often fielding phone calls, emails, letters, and meeting requests, managing the day-to-day contact the executive has with staff and business contacts in order to maximize and prioritize time and availability.
Additional administrative duties will include; sorting, prioritizing, and distributing incoming mail, coordinating and preparing outgoing mail, preparing routine and non-routine correspondence, memoranda, reports, spreadsheets and presentations on behalf of HR leaders.
Compile and analyze information and reports relevant to department projects often contacting company and non-company employees at all organizational levels to gather information that may be highly confidential.
Partner with HR Business Admin group to provide updates on HR initiatives or projects including department budgets while participating as a team member on department projects as needed.
Coordinate domestic and international travel plans for senior management, department staff or for large on- or off-site meetings including reserving meeting rooms, audio/visual equipment, catering and other resources.
Maintain complex calendars for leaders as well as department meetings, events and time-off schedules.
Coordinate Compensation Committee meetings; prepare meeting calendars, agenda and presentation decks while coordinating with CEO and President's availability.
Provide general office support ensuring office equipment such as printers, copiers, and faxes remain in working order and are serviced on a regular basis while maintaining appropriate levels of office supplies.
What ideal qualifications, skills & experience would help someone to be successful?
At least 5 years of administrative experience supporting senior management in a professional environment
Ability to interact with senior management, members of the Board of Directors, and high-profile clients maintaining confidentiality
Advanced MS Office skills including Word, Excel, PowerPoint
Knowledge of MS Access, Project, and Teams preferred
Ability to accurately type a minimum of 50 words per minute
Ability to perform multiple tasks in a fast paced, team environment
Strong verbal and written communication skills
Effective organizational skills; ability to organize and maintain accurate, orderly files and records
Strong attention to detail; ability to accurately proofread documents
Ability to exercise independent judgment consistent with the work being completed and within the department's guidelines
Ability to solve routine problems or customer issues with little or no direction
Ability to assess a problem quickly and determine to what level it should be elevated, directing staff/customers to the correct person(s)
Experience in the Mutual Fund/Financial Services industry, helpful
