HELP USA is seeking an experienced, organized, reliable and proactive Executive Assistant to support the organizations Chief Financial Officer and work in collaboration with members of the executive management team who oversee HELP USA operations. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment. This person will exercise independent judgment while managing internal and external communications and a busy calendar.
Specific responsibilities will include:
Managing communications by email and telephone, conveying messages accurately and on a timely basis.
Scheduling appointments, meetings, events, etc.
Assistance in preparation and distribution of financial reports, presentations and correspondence as needed.
Exercising discretion and confidentiality with sensitive information.
Providing support for ongoing and special projects.
Maintaining files in an organized, easy to follow manner
Minimum four years administrative support experience.
General knowledge of finance and accounting functions, polices, practices and terminology.
Excellent PC skills, particularly with all Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).
Friendly and professional demeanor.
Excellent written and oral communication skills.
Strong organizational skills, with ability to multi-task with shifting priorities.
Results-oriented with ability to follow-through and complete assignments.
Ability to work well in a collaborative environment and interact effectively with all levels throughout the organization.
Knowledge of office systems and procedures, including use and troubleshooting of office equipment .
High School Diploma or equivalent required, with an undergraduate degree preferred.
