Position Summary:

Supports Senior Leaders with a wide variety of administrative or project oriented work. Manages executive's calendar, meetings, conference calls, travel, correspondence, and budget. Develops and prepares presentations and reports. Requires a broad understanding of organization operations, procedures, and personnel. Event planning. Handles confidential and sensitive material. Makes some independent decisions regarding planning, organizing, and scheduling work. May handle special projects as assigned. This position will be supporting Senior Leadership and Warehouse Leadership.

Essential Functions:

  • Manage the General Manager's schedule and daily calendar, prioritizing appointments, coordinating rescheduling, and proactively communicating and organizing activities to ensure an efficient and well-structured calendar of events.

  • Schedule and coordinate meetings, conference calls and other events, supplies appropriate equipment/materials, prepare agendas, presentations, and provides hospitality services as needed.

  • Plan and coordinate a diverse range of events, including employee engagements, customer gatherings, leadership conferences, and the company's Annual Celebration.

  • Coordinate business travel (flights, ground transportation, lodging, conference registration, etc.) and travel expense compilation and submission.

  • Perform and coordinate basic office duties such as sorting and distributing mail, copying, filing, faxing, completing forms, ordering and maintaining equipment and supplies.

  • Receive and screen calls, take messages, monitor email and answers questions.

  • Prepare expense reports, pay invoices and monitor budget.

  • Conduct research, perform data mining and analysis, may negotiate contracts, and perform statistical analysis.

Essential Skills:

  • Minimum of 2 years experience in an Executive Administrative role.

  • C-Suite experience preferred.

  • High school diploma required, Bachelor's degree in Business preferred.

  • Event planner experience preferred.

  • Experience using Google platform, managing spreadsheets, creating PowerPoint presentations.

  • Work requires some analysis and use of initiative and independent judgment.

  • Communication - ability to work with a variety of managers, teams, and individuals both internally and externally.

  • Human Relations - knowledge of principles and processes for providing customer and personal services; service orientation skills; social perceptiveness skills; relationship building.

  • Self Management - self directed, time management, coordination skills, ability to recognize problems, use discretion and make sound judgements; ability to cope with stressful situations while maintaining a calm and professional demeanor.
