Qualifications Bachelor's Degree or Equivalent 8 - 10 Years of Executive Assistant Experience Budgetary experience preferred with knowledge of using Microsoft Applications (i.e., Teams, Excel Spreadsheet, PowerPoint) Excellent client-facing and internal communication skills Excellent written and verbal communication skills Excellent organizational skills including attention to detail and multitasking skills Job Essentials, Responsibilities, Duties The following are key job essentials, responsibilities, and duties of the job. Assist Business Leader in managing to do lists. Attend meetings and extract to do items, track them in Asana software by responsible party and due date, follow up to ensure that all items are complete. Lead Bi-Weekly Touch Base Strategy meetings on various clients, projects, & presentations.
Be Flexible with working directly in the Nashville office and via teams during business leader's travel. Executive Email and Calendar Management: Monitor the Business Leader's email to extract to do items and meeting requests.
Assist by replying to email, scheduling meetings, tracking to-do items, filing attachments, and other activities. Notify executives for time sensitive replies. Keep inboxes organized.
Executive Document Management:
Assist in producing meeting records and maintain Executive's files. Coordinate and finalize Company Monthly Reports for the File.
Utilize Microsoft Teams to ensure consistency with file naming properly and ease of retrieval. Write thank you notes and send on behalf of Executives. Track sponsor requests and non-profit/organizational activities Assist with documenting all SOP's (processes, templates, and resource material) for the Company and working with the Standards Committee to keep files updated.
Executive Departmental Coordination: Be a resource for departmental needs, triage questions and work with executives for approvals. Understand confidentiality and who has access to what information.
Maintain confidentiality and discretion when communicating with team members regarding executive's activities. Assist with Strategic Planning, Departmental and Location Meetings, Annual Meeting, including coordinating meeting locations, travel planning, content preparation, attending, and documenting outcomes of meetings. This role requires exceptional organizational skills, the ability to manage competing priorities, and a high level of professionalism. The Executive Assistant will do a variety of activities to ensure the Business leader's effectiveness by managing tasks, overseeing email, calendars, coordinate meetings, handle communications, and execute administrative tasks crucial to the efficient operation of executive offices. Strong interpersonal skills and discretion are essential, as this position involves interaction with internal and external stakeholders at all levels.
