Position Summary Information

Duties

The Executive Assistant for the Office of Enrollment and Student Services reports to the Assistant Vice President for Enrollment & Student Services and provides administrative and office management support to the Office of Enrollment and Student Services (AVPESS).

ESSENTIAL FUNCTIONS:

  • Provide Executive Administrative support to the AVPESS and the Office of Enrollment and Student Services.

  • Assist AVPESS to ensure institutional, state, federal policies and deadlines impacting the Office of Enrollment and Student Services are monitored and met.

  • Assist AVPESS with budget and planning documents

  • Manage AVPESS' scheduling and daily calendar items, providing support materials for agendas.

  • Meet annual goals established by the AVPESS.

  • Serve as the Ombudsman for satisfactorily resolving student problems/conflicts.

  • Provide primary support for researching, formulating, developing, writing, and distributing materials, schedules, calendars, budgets, plans, proposals and reports for the Office of Enrollment and Student Services.

  • Provide primary support for university calendar development and catalog publication,

  • Provide primary support for Enrollment and Student Services operational oversite and policy implementation.

  • Manage the day-to-day operations of the Office of Enrollment and Student Services including development of filing systems and databases that support efficient and effective operations.

  • Manage purchase orders, requests for leave, and travel forms for the Office of Enrollment & Student Services.

  • Manage agendas, tasks, reports and final minutes for all Enrollment & Student Services meetings and projects.

  • Manage timely annual Assessment Plans and Reports for Enrollment Management.

  • Maintain security of confidential information, files and documents.

  • Serve as the recorder of the Enrollment & Student Services Board of Trustees subcommittee meetings.

  • Maintain up to date technological skills and use efficiently in performance of job functions.

  • Comply with all policies of the University.

  • Interact with Students

  • Attend Honors & Awards and Commencement Ceremonies to assist with student activities.

  • Demonstrate flexibility and adaptability to changing work scope and tasks based on need.

  • Actively work towards building cooperative and collaborative relationships with peers and internal faculty and staff.

  • Maintain "open door" to internal and external customers.

  • Identify opportunities for improvements to work practices and offers viable solutions for implementation.

  • Proactively engage in problem solving related to tasks in this position with internal and external people.

  • Routinely practice self-monitoring by assessing self to make improvements or take corrective action to improve performance.

  • Complete other tasks as assigned

Qualifications

QUALIFICATIONS REQUIRED:

  • Bachelor's Degree

  • 3 years Executive Assistant or Project Management experience

  • Demonstrated mastery of Office Applications Word, Excel, PowerPoint and Report Writing

  • Demonstrated successful management of budget preparation, monitoring and reporting

OTHER QUALIFICATIONS REQUIRED:

Salary Band: N290

Located in historic Athens, Alabama, Athens State University offers junior and senior-level coursework to community college graduates and transfer students holding sufficient credits from other institutions. Presently, over 3,100 students have selected Athens State because of its neighborly environment where 50 majors and degree programs are offered, with courses taught by a supportive and exceptional faculty. Approximately 80% of the students are enrolled in at least one online course. The typical student is a working adult who commutes. The University offers undergraduate degree programs in Liberal Arts, Teacher Preparation, and Business.
