First Eagle is looking for an Executive Assistant to proactively provide administrative support to the East and West Coast Regional Sales Directors, their teams and the Internal Wholesalers.

Responsibilities:

  • Provide general administrative support such as preparing correspondence, forms and reports, arranging meetings, confidential reports and documents, filing electronic and hard copy documents, tracking deadlines;

  • Maintain and coordinate calendars, schedule appointments and meetings and itineraries;

  • Assist with the creation/modification of presentations, spreadsheets and other various ad-hoc reports and special projects as needed;

  • Prepare, reconcile and process expense reports and vendor invoices;

  • Arrange internal meetings including room reservation, equipment set-up, catering, meeting material preparation;

  • Answer phones in a professional manner;

  • Manage all travel arrangements (flights, hotels, car rentals, and car services). Ensure smooth travel for all team members;

  • Manage stationery requests for department, including letterhead, envelopes, business cards and other office supplies;

  • Distribute daily mail to appropriate parties;

  • Maintains confidence and protects operations by keeping information confidential;

  • Demonstrating a high degree of professionalism, initiative and independence;

  • Preparing agendas;

  • Organize and follow up on action items after attending meetings, as directed;

  • Manage telephone and email communication, prioritizing emails and corresponding on behalf of managers and team members when necessary;

  • Prepare all necessary materials prior to meetings;

  • Order promotional items and keep stock up-to-date and suggest new promotional ideas; and

  • Assist the National Account team with conference scheduling, budgeting and shipments.

Qualifications:

  • Five or more years of executive assistant experience;

  • Prior experience within financial services and/or an investment firm is preferred;

  • Excellent time management, organizational and interpersonal skills;

  • Strong computer skills - Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint);

  • Excellent verbal and written communication skills;

  • Solutions and client-service oriented with a strong focus on delivering exceptional customer service; approachable with the ability to develop trusting relationships;

  • High energy level;

  • Resourceful, well organized, highly dependable, efficient and detail oriented;

  • Must possess a team focused attitude with a demonstrated ability to work collaboratively with others;

  • Demonstrates willingness to take on additional responsibilities and/or new projects;

  • Ability to accomplish routine and habitual tasks with care and attention to detail;

  • Hands-on problem solver and team player; and

  • College degree preferred.
