We are currently seeking a full-time Executive Assistant / Facilities Manager to join our Administrative team in providing direct support to the President/Founder. She/he must be a self-sufficient problem solver who can adjust to rapidly changing circumstances and work well under pressure as situations warrant.

Daily responsibilities include, but are not limited to:

  • Manage relationships and serve as a point of contact between employees, internal/external parties, vendors, lenders, and customers

  • Maintain bookkeeping and accounting/back office for multiple organizations

  • General facilities support and property management tasks for multiple commercial and residential properties including; oversee rent and collections, accommodating tenant requests, participating in leasing and marketing activities, office moves, construction, and building maintenance

  • Implement decisions on behalf of the President/Founder in an effective, efficient, professional, and respectful manner

  • Provide general administrative support including phones, calendar management, travel, and meeting/events planning

  • Maintain records; hard copy and electronic filing system

  • Supervision of other administrative staff

  • Other tasks as assigned

Minimum qualifications:

  • Bachelor's degree and 3+ years of bookkeeping, facilities management and administrative experience

  • Ability to learn existing systems and processes quickly

  • Strong interpersonal, business writing and verbal communication skills

  • Exceptional time management, organizational, and multi-tasking skills with strong attention to detail and follow up

  • Ability to work independently and exhibit patience in a fast-paced environment with competing priorities and minimal guidance

  • Exhibit professionalism always and maintain confidentiality

  • Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks

  • Proficient in MS Office tools including Word, Excel, and PowerPoint (skills tests will be required during the interview process) and Yardi Genesis experience preferred

  • Ability to develop and maintain positive relationships with staff and vendors

  • Sense of humor is a plus

  • A proven professional or personal commitment to the betterment of the environment and the reduction of GHGs

Our BART-accessible office is located in downtown Oakland, California. Compensation is commensurate with experience and includes a generous retirement package.
