Position Summary This position has two sets of responsibilities:

Provide executive administrative support of a highly complex and responsible nature for executive members of the People & Culture Leadership team, with a primary focus in support of the SVP, Global Talent Solutions. Work includes calendar management, arranging travel, expense reporting, etc. Develop and maintain a deep partnership with the Executive Assistant and Dir, Business Operations for the Chief People Officer, Global Talent Solutions leadership team, other members of People & Culture and other F5 EAs.

Responsible for providing high-level coordination and support for executive-level recruitment efforts. This individual will focus on ensuring a seamless and professional experience for candidates and hiring leaders during the executive hiring process, including the coordination of complex interview schedules, travel arrangements, and high-touch candidate experiences. Will act as the point of contact for executive candidates, managing every detail of the interview process with precision and confidentiality.

Responsibilities

Note: Executive hiring duties described below vary in volume based on current executive hiring. While these tasks take priority, there will often be periods where the sole focus will be on the supported executives vs executive hiring.

  • Calendar Management for Supported Executives:

  • Manage the calendar(s) of supported executives including responding to requests for time with executives, coordination of multiple people for meetings, adjusting meetings/events as necessary

  • Work with supported executives to plan needed preparation in advance of meetings and events

  • Coordinate logistics associated with Executives' rhythm of business.

  • Maintain and protect highly confidential and sensitive corporate information.

  • Travel & Logistics Coordination for Supported Executives and Executive Candidates

  • Arrange travel accommodations, including booking flights, transportation, hotels, and any additional travel needs.

  • Provide detailed travel itineraries and support with any adjustments or special requests.

  • Work closely with travel vendors to ensure cost-effectiveness and adherence to company travel policies.

  • Executive Interview Coordination

  • Manage the scheduling of complex and multi-stakeholder interviews for executive candidates, ensuring alignment with the availability of executives and senior leaders.

  • Coordinate both virtual and in-person interviews, adjusting schedules based on changes and maintaining flexibility for last-minute requests.

  • Ensure candidates receive timely and clear communication throughout the interview process, from initial scheduling to post-interview follow-ups.

  • Prepare candidate files and materials for executive interviews, ensuring all stakeholders have the necessary information to make informed decisions.

  • High-Touch Candidate Experience

  • Serve as the main point of contact for executive candidates, providing concierge-level service throughout their recruitment process.

  • Ensure candidates are well-informed about each step of the process and have a positive, high-touch experience that reflects F5's culture and values.

  • Handle sensitive and confidential information with professionalism and discretion.

  • Event & Meeting Coordination for Supported Executives and Executive Hiring Needs

  • Organize high-profile events such as executive meet-and-greets, leadership panels, and other related supported executive and candidate events.

  • Ensure all details, such as venues, catering, and technology needs, are arranged to create a smooth and impressive experience.

  • Work with the recruiting team to plan and coordinate executive debrief meetings and feedback sessions.

  • Executive Hiring Stakeholder Collaboration

  • Work closely with senior/principal recruiters, hiring leaders, and other key stakeholders to ensure a seamless recruitment process for executive candidates.

  • Provide regular updates to recruiters and hiring managers regarding candidate progress, feedback, and any potential issues with interview coordination.

  • Build strong relationships with the EA team, acting as a trusted partner for coordinating their time and ensuring alignment on candidate schedules.

  • Documentation & Compliance

  • Maintain accurate records of supported executive and candidate interviews, travel, and expenses, ensuring all documentation is compliant with company policies.

  • Support the tracking of key metrics for executive hiring, such as time-to-schedule and candidate experience ratings.

  • Responsible for upholding F5's Business Code of Ethics and promptly reporting violations of the Code or company policies.

  • Exercises judgment aligned with BeF5 and LeadF5 behaviors.

Performs duties as assigned.

Qualifications

  • 10+ years of experience in the administrative field supporting senior leaders; high-tech background a plus.

  • Bachelor's degree in business, Human Resources, or related field or equivalent years of experience.

  • Extensive administrative support experience of a C-level senior-level executive, including coordinating complex schedules and booking travel and accommodations.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills, with a professional and polished demeanor.

  • Strong interpersonal skills with the ability to build relationships with senior stakeholders and candidates.

  • Ability to manage confidential information with a high level of discretion.

  • Advanced skills in Word, Excel, Outlook, PowerPoint.

  • Must have initiative and be able to exercise judgment.

  • Must have the ability to complete tasks without /detailed instructions.

  • Project management skills are desired.

  • Must be detail oriented, prompt, flexible, and dependable.

  • Experience and comfort in developing and maintaining hybrid and virtual executive relationships.

  • Comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates in a fast-paced environment.

The annual base pay for this position is: $93,910.00 - $140,866.00

F5 maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, geographic locations, and market conditions, as well as to reflect F5's differing products, industries, and lines of business. The pay range referenced is as of the time of the job posting and is subject to change.
