At the University of New Mexico's Project ECHO, we are delighted to announce this amazing opportunity to join our organization as an Executive Assistant! We are looking for someone who has the skills, expertise and experience to drive Project ECHO's goal of impacting one billion lives by 2025.

In this role, you will connect task management to organizational priorities with a high degree of confidentiality, a sense of urgency, and customer focus. This team is a fast-paced, collaborative group.

To be successful in this role, you will take pride in identifying and anticipating business needs. The ideal candidate is efficient, detail-oriented, and skilled in developing and maintaining workplace and customer relationships.

As an Executive Assistant you will be supporting the Chief Strategic Advisor for Individual Support and working alongside our development team to support, develop and implement fundraising programs and organize large-sale funding initiatives. The Executive Assistant will also be responsible for:

  • Following up with assignments between meetings and help the Chief Strategic Advisor for Individual Support with key relationships by building a quick and engaging rapport with stakeholders.

  • Providing support in problem solving, project planning and management from start to finish (e.g. cross functionally collaborating in complex multi-country/multi-city travel - planning, organizing, coordinating the overall strategy of complex trips/meetings with high level funders, potential funders, collaborators, directors)

  • Planning and organizing meetings including event planning, calendar invites, creating agendas, gathering and preparing presentations, assigning tasks and following up to ensure items are completed accurately; take notes during meetings and assign and track completion of tasks to team.

  • Managing processes & steps necessary for cultivation, solicitation, and stewardship of funders including prospect research, connections, tracking, etc.

  • Providing a variety of administrative and confidential organizational support to the Chief Strategic Advisor for Individual Support, including maintaining complex calendars, handling telephone calls, completing meeting and conference travel and logistics.

  • Coordinating and working with the team to master Salesforce and the different facets of the software; will work with communications and development teams to develop Salesforce best practices and processes utilizing data to develop reports/info as needed for meetings as well and ad hoc meetings.

  • Participating in the development of new processes to establish and maintain records that will be developed and implemented utilizing multiple tools available to ECHO, including Box, Confluence, Teamwork, iECHO and Salesforce for both established and new projects that support and document the Chief Strategic Advisor for Individual Support's work.

Conditions of Employment Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

  • Bachelor's degree

  • Experience with CRM software

  • Experience with donor relationship management (organizing donor information, tracking interactions, maintaining follow-ups, etc.)

  • Ability to work in the office approx. 2 days per week
