We are currently looking for an Executive Assistant to join our team serving our C-Suite leaders!

The C-level Executive Assistant provides high-level, confidential administrative support to the Chief Executive Officers by conducting research, preparing presentations, handling confidential information and requests, and is responsible for managing the administrative operations of the executive office. The position performs clerical functions such as preparing correspondence, complex calendaring, receiving visitors, arranging conference calls and scheduling meetings for corporate leadership. Duties include:

  • Manage calendars for internal and external meetings for CXO's, monitors and resolves scheduling conflicts.

  • Manage prioritization of internal and external meetings/events on behalf of the CXO's, while also allowing for discretionary time needed to achieve priorities and goals.

  • Assists with preparation for meetings, AV set-up, conference/web viewing functionality, special events, catering, training, etc.

  • Generate meetings for CXO's site visitations/staff meetings, budget meetings, strategic planning sessions, direct report 1:1's, internal and external tours, etc.

  • Reconcile expense reports and company credit cards. Collect and review direct reports expense statements, acknowledge errors and/or missing receipts, prepare for CXO signature, and route to accounting by month-end close.

  • Assist with presentations, reports, memos, letters and other documents using Microsoft relevant computer software.

  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distributions.

  • Responsible for developing and maintaining companywide organizational charts at the direction of the CXO's.

  • Manage and track the administrative budget by monitoring costs and expenses to assist in budget preparation.

  • Management of corporate business licensing to include, all state and city business licenses for all entities under Pioneer Human Services, process yearly renewals in a timely manner, process business license applications for new locations, change of address, or change of program name, and maintain corporate business license files, to be filed by year.


  • Bachelor's Degree or related field experience preferred.

  • Three years of Executive Assistant experience preferred in an executive level.

  • Excellent communication and project management skills.

  • Strong collaboration and relationship building skills across all key stakeholders and divisions.

  • Ability to obtain successful outcomes by continuously striving to identify new and innovative ways of getting work done more efficiently and effectively.
