Provides high-level of assistance to CEO/President by facilitating office or administrative activities.

Essential Duties and Responsibilities:

Following is a summary of the essential functions for this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.

Act as liaison for CEO/President between clients, employees, and community/business associates.

Schedule and organize complex activities such as meetings, travel, and department activities for all members of senior management.

Plan all related details of any corporate events including but no limited to agenda, timelines for ordering related merchandise, manage RSVP responses and requests, handout preparation and name badges.

Negotiate contracts for lodging, meals, meeting spaces, transportation and any other accommodations, related venues or expenses.

Provides coaching to Administrative Assistants.

Work independently and within a team on special projects.

Act as project manager for projects as directed by CEO/Office President.

Organize and prioritize large volumes of information.

Handle confidential and non-routine information.

Conduct hotel and venue site visits.

Direct services such as maintenance, repair and supplies.

Create and design general correspondences, memos, charts, tables, graphs, business plans, etc.

Sort and distribute incoming mail and prepares outgoing mail and determines level of priority for correspondence and response purposes.

Answer phone for CEO/President and direct calls as appropriate.

Other projects and responsibilities as assigned.

Required Skills and Competencies:

Bachelor degree or equivalent work experience

Five years of executive office administration experience

Previous event planning responsibilities

Ability to make decision with minimal supervision.

Ability to work in fast paced environment with demonstrated ability to multi task and complete deadlines as assigned

Must have a high level of interpersonal skills to handle sensitive and confidential situations.

Must possess poise, tact, confidentiality and diplomacy

Ability to effectively interact with employees at all levels of the organization and with a variety of people from diverse backgrounds

Must have comprehensive knowledge of computer software applications

Must work extended hours as needed

Normal office environment; No unusual physical demands
