Provides assistance and support to Dexcom's Chief Commercial Officer and Chief Financial Officer by coordinating a wide variety of administrative functions including schedule management, travel management, and acting as a liaison to all internal and external entities. This position requires a highly organized and self- motivated person who is flexible and can work well under pressure.
Essential Duties and Responsibilities:
Manage all aspects of executives' schedule including coordinating meetings, preparing agendas, and preparing facilities used for meetings.
Enhances the corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the job accomplishments.
Conserves the executive's time and promotes the corporate image by representing the executive internally and externally; providing liaison between the executives supported, other senior leaders, and employees.
Represents the executive by welcoming visitors and escorting them to the appropriate area or person; reviews correspondence; arranges company dinners and other corporate functions; answers questions and meeting requests directed to the executive.
Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and adjusting plans.
Screens all incoming calls/messages and correspondence.
Arranges corporate travel and meetings by developing itineraries and agendas; books other transportation; arranges lodging and meeting accommodations; manages expense reports while adhering to company policies and procedures.
Handles sensitive information and maintains confidentiality of all personal and corporate matters.
Attends staff meetings and assists with agendas and follow up with executive staff.
Performs other duties as required.
Must have excellent written, verbal, analytical and interpersonal skills and has the ability to effectively and professionally work with all levels of employees.
Must be accessible at various times outside of a typical workday and possibly weekends to make changes to travel and schedules.
Writing and editing skills; technical and computer expertise (Microsoft Office); possess advanced computer skills along with the ability to train others on system usage; organizational and planning skills; communication skills; confidentiality; attention to detail and accuracy; judgment and independent decision-making ability; problem analysis and problem solving skills; adaptability; initiative; information gathering and monitoring skills.
Must also be self-disciplined, self-motivated, extremely flexible, detail oriented, accurate, thorough and dependable.
Minimum 5 years' experience working with senior level executives within and outside the company. Bachelor's Degree preferred.
Must also have experience and a proven track record with travel logistics, scheduling, follow up, execution, presentation skills, self-confidence, meeting management, client relationship; promoting process improvement; independent decision making, administrative writing skills, and the ability to solve complex problems in creative and effective ways through in-depth evaluation of various factors is important.
