Job Summary
SALARY: $70,600-$86,200
We are looking for a motivated and reliable Executive Assistant to support our Colas Executive Team.
Responsible for assisting with various administrative tasks, such as tracking meetings, inspections, audits, and other leading indicators, preparing reports, organizing training, and communicating with internal and external stakeholders. You will also provide administrative support to the Directors as needed, such as managing schedules, arranging travel, and handling correspondence.
To be successful in this role, you should have excellent organizational, communication, and computer skills. You should also have a keen interest in learning about best practices and regulations in the construction industry.
You should be proficient in Teams, Google Docs, and Microsoft Office, or willing to learn them quickly. A background in communications, marketing, or video production is a plus, as you may be involved in creating content for our website, social media, and newsletters.
Main Responsibilities
Provides direct administrative support for executive team.
Prepares and assists in preparing PowerPoint presentations and other documents as needed
Prepares and organizes, and takes notes at meetings
Assist the executive team with implementing and maintaining policies, procedures, and safety records.
Prepare and submit reports, records, and statistics to the management and relevant authorities.
Provide administrative support to the executive Team, such as managing calendars, booking travel, and handling correspondence.
Create and update content for our website, social media, and newsletters, using various media formats, such as text, images, and videos
Perform other duties as assigned by the executive team
May assist executives with expense reports and various purchases
Assists in special projects as requested
Experience
Minimum 2 years of experience as an Executive Assistant, Administrative Assistant, or a similar role, preferably in the construction industry
Experience in communications, marketing, or video production is a plus
Teams, Google Docs, and Microsoft Office
Ability to learn new software and systems quickly
Excellent verbal and written communication skills, with attention to detail and accuracy
Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask
Ability to work independently and as part of a team, with a positive and proactive attitude
Ability to handle confidential and sensitive information with discretion
Valid Driver's License and ability to maintain a clean driving record
Experience in the construction or manufacturing industry preferred
Must have a strong sense of business acumen and professionalism
Must be able to communicate directly but tactfully to company leaders
Must have the ability and tact to handle sensitive and timely information
Must have outstanding verbal and written communication skills
Must be well organized and a self-starter requiring minimal direction
Strong organizational and follow-through skills to prioritize work
Ability to manage multiple priorities and meet deadlines in a time-sensitive environment
