Title: Executive Assistant Human Resources

Company/Location: Omnicom Health Group, New York

Pivotal role supporting the achievement of the Human Resources department objectives by coordinating scheduling with key stakeholders and providing administrative assistance for a wide variety of complex, diverse, sensitive and confidential tasks and projects.

  • Be a go-to resource: Provide personalized and quality customer service to key stakeholders, including all members of the Human Resources team, by screening and prioritizing incoming information, recommending actions to resolve requests and referring stakeholders to appropriate employees or departments as required

  • Be organized and discreet: Manage directly or support some Human Resources activities, including but not limited to separation agreements, employment verification, audits, new hire orientation, employee files, and responding to general HR policy questions

  • Be adaptable: Own calendar management for the Senior Vice President, Chief Human Resources Officer by maintaining an organized, up-to-date calendar and proactively resolving scheduling conflicts to ensure consistent communication and planning with multiple stakeholders

  • Be creative and detail oriented: Manage travel and meeting arrangements by organizing logistics and liaising with key stakeholders and travel resources to confirm schedules and/or itineraries. Organize billing and budgeting documents by preparing reports and financial data, and processing expense reimbursements

  • Make things happen: Manage special projects as assigned by establishing objectives and milestones, defining resources, coordinating work plans and creating presentations or other documents as required to support the achievement of Human Resource team's goals

  • Drive team engagement: Identify, plan and executive events, programs, etc. to support HR team engagement.


  • Have good judgment: Appropriately prioritize assigned tasks to ensure timely goal achievement

  • Use your head: Use logic and reason to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems

Qualifications and Experience:

  • 3 years of Executive support experience is required, preferably within an advertising/marketing/PR agency

  • Bachelor's degree or equivalent work experience strongly preferred

  • Advanced working knowledge of writing mechanics and grammatical concepts

  • Advanced working knowledge of administrative procedures and systems, managing files and records and other office procedures and terminology

  • A proven track record of maintaining the highest level of confidentiality and responding in a discrete manner always

  • Must have strong written and oral communication skills and excellent judgment

  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint.

  • MAC/Keynote knowledge preferred.

  • GoTo Meetings/Zoom/Slack knowledge helpful.

  • Ability to multitask and prioritize

  • Great client/customer service skills
