What will you do in this role?
The Executive Assistant provides high-level administrative support to the Chief Operating Officer and Executive Team, ensuring seamless coordination, communication, and efficiency within the organization. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced homebuilding environment. The Executive Assistant will also be key in scheduling Entrepreneurial Operating System (EOS) sessions for the company's various markets.
Essential Duties and Responsibilities:
Executive Support:
- Manage complex calendars, scheduling meetings, appointments, and travel for the President, COO, and Executive Team.
- Coordinate and prepare materials for executive meetings, presentations, and reports.
- Handle confidential and sensitive information with the utmost discretion.
- Draft and edit correspondence, emails, and other communications on behalf of the executives.
- Act as a liaison between executives and internal/external stakeholders.
- Support follow-ups on key action items and initiatives.
EOS Session Coordination:
- Schedule, coordinate, and support EOS (Entrepreneurial Operating System) sessions for the company's markets.
- Ensure meeting agendas, materials, and follow-ups are prepared and distributed in a timely manner.
- Work with facilitators and market leaders to track session outcomes and action items.
Administrative Management:
- Maintain an organized system for executive files, records, and documentation.
- Process expense reports, invoices, and budget tracking for the executive team.
- Assist with event planning for leadership retreats, offsites, and companywide meetings.
- Oversee special projects and initiatives as assigned by the President or COO.
You Have:
- Education:Bachelor's degree preferred, or equivalent experience. High School Diploma or GED accepted.
- Experience: 5+ years of experience as an Executive Assistant supporting C-level executives, preferably in the homebuilding, real estate, or construction industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools. Experience with EOS tools is a plus.
- Other Skills: Strong attention to detail, problem-solving abilities, and excellent communication skills. Ability to work independently, handle multiple priorities, and anticipate needs proactively.
- Ability to work independently and complete assignments according to instructions, prescribed routines, and standard accepted practices.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and exercise discretion.
- Excellent interpersonal skills with the ability to interact with all levels of leadership.
- Proactive mindset with the ability to take initiative and execute tasks efficiently.
- Adaptability in a fast-paced and evolving environment.
You Might Also Have:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual in-person attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
- Must be able to lift and carry up to 25 pounds.
- Must be able to talk, listen and speak clearly

>Expected Salary: $65,000-$75,000 Annual Salary- This position is eligible for additional performance incentives in the form of quarterly bonus opportunity.
