This position will provide administrative support for the executive team.

We're looking for people who

  • Provides all administrative and technical support to senior leadership team

  • Creates various daily and monthly sales and financial reports

  • Prepares a wide variety of documents including letters, memos, forms, reports, spreadsheets, and other requested documents

  • Other projects as assigned by management

  • Coordinates meetings, appointments, interviews and events and ensures that manager's calendars are kept current

  • Coordinates travel arrangements for leadership

  • Input expense reports for leadership

  • Build relationships with key individuals throughout all offices and coordinate duties appropriately

  • Acts as liaison between divisions and other company divisions and departments

  • Additional administrative tasks as assigned by management

  • Other duties as assigned by management

Your role

  • Accurately type 60 wpm

  • Professional level of written & oral communication

  • Strong proficiency in desktop applications (Word, Excel, Power Point), database management and reporting, graphics and presentation, spreadsheet development and reporting

  • Effective customer service and problem solving skills

  • Secretarial or business college training or experiential equivalent

  • Two years of higher education or training

  • Five years of work experience in an administrative or support role of professional positions senior level assistant

Preferred Skills:

  • Excellent organization and prioritization skills

  • Ability to be flexible to support an executive work environment

  • Professional written and verbal communication skills

The Executive Assistant performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Use computers for various applications, such as database management and/or word processing. * Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. * Create, maintain, and enter information into databases. * Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. * Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions. * Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. * Maintain scheduling and event calendars. * Complete forms in accordance with company procedures. Qualifications The Company may consider equivalent combination of acceptable education and experience providing the knowledge, skills and abilities cited below. Working Conditions & Physical Effort Work is normally performed in an interior hotel environment. While performing job duties, the associate speaks, listens, completes documents, processes requests and operates office equipment such as a telephone, calculator, computer, copier and fax. Physical requirements include extended periods of standing and/or walking, bending, reaching, pulling, pushing, kneeling, and lifting up to 50 pounds. The work involves some exposure to extreme temperatures, chemicals, dirt, fumes, smoke, unpleasant odors, and/or loud noises. The exposure to hazards or physical risks requires following basic safety precautions and use of applicable protective equipment. The job requires close vision with or without corrective lenses.
