Position Description

We are seeking a seasoned Executive Assistant with a strong work ethic and exceptional organization and communication skills for an exciting opportunity supporting our Customer Service/ Member Engagement Executives.

Key Responsibilities

  • Assist by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.

  • Receive and screen telephone calls, review emails for priority information and meeting requests as directed, in order to prioritize incoming information and/or appointments.

  • Maintain calendar by planning and scheduling meetings, conferences, special events, teleconferences, and travel.

  • Communicate calendar changes to those affected in a timely manner.

  • Remain current regarding Executives' priorities on a daily basis.

  • Create and manage meeting materials that may include creating presentations, charts and spreadsheets.

  • Ensure security, integrity and confidentiality of data.

  • Welcome visitors and customers by greeting them, in person or on the telephone; answering or directing inquiries, arranging lunch and/or dinner and assisting them in their travel arrangements, if needed.

  • Assist with projects that require analysis, organization, & research.

  • Prepare expense reports.

  • Establish, maintain and monitor the central filing system for all departmental documentation.

  • Organize and coordinate all travel, transportation, hotel and meeting arrangements as required.

  • Other duties as required or assigned.

Minimum Requirements

  • Minimum of 5 years of experience as an Executive Assistant, providing support to a senior executive in a fast-paced, dynamic environment.

  • Advanced PC skills (proficient using Microsoft Windows, Word, Excel, Outlook, PowerPoint and the Internet).

  • Excellent communication, organization and customer service skills.

  • Apply advanced skills to resolve complex problems independently which may require modifying processes to resolve situations.

  • Proven track record including roles of increasing responsibility.

  • Proven success working in an environment where multi-tasking is the norm.

  • Creative problem-solving skills.

  • Advanced calendar management, and organizational skills.

  • Excellent interpersonal and communication skills (written and verbal).

  • Strong adaptability, flexibility, initiative and resourcefulness.

  • Ability to exercise independent judgment and decisions.

  • Demonstrated ability to maintain a high level of professionalism and confidentiality.


Bachelor's degree in a relevant subject area or an equivalent amount of education, training, and experience, is desired.

Position Overview Reporting to the Chief Financial Officer, the Contract Specialist is responsible to oversee the preparation, administration, revision and execution of all Client contracts. The Contract Specialist will verify that all contract terms fall within Company guidelines providing and assisting Senior Management with recommendations for contract edits and completeness. The Contract Specialist is also responsible for assisting the CFO with ad-hoc projects. Duties and Responsibilities * Oversee the preparation and revision of contracts * Maintain contract database tracker of all agreements, monitoring for upcoming expirations. * Ensure that terms and conditions are consistent across all contracts. * Maintain deadlines on deliverables and communicate on an on-going basis with Client Heads on contractual issues. * Review contractual performance of both parties to ensure compliance with terms and to identify conflicts or changes requiring resolution at contract renewal. * Track authorizations and correspondence and version control. * Provide guidance to Senior Management on negotiating more favorable terms when applicable. Conduct contract strategy meetings. * Assist with development of and maintenance of contract standards. * Assure accuracy and appropriateness of contract text and attachments. * Interface with outside legal counsel as necessary regarding contract issues that require clarification or legal guidance. * Interface with Parent Company on insurance terms and conditions. * Interface with Parent Company, CFO and Client Head(s) on joint project work. * Maintain detail and organized files within Company database. * Provide proper documents to Finance Team. * Proactively manage signature risk, updating CFO, Senior Accountant and respective Client Heads in a timely manner. * Review contract documents for compliance and financial terms. Knowledge, Skills, and Abilities: * Bachelors degree * Preferred Level: Legal Degree or equivalent industry experience and knowledge * Prior experience in project management or procurement, preferably in contracting. * Understanding of basic contract terms and constructs. * Strong attention to detail with project management skills. * Ability to prioritize and multi-task with a deadline and detail oriented work ethic. * This position will be required to work cross functionally to problem solve * Time management (project prioritization) important to role, and ability to follow process and policy. * Accounting/Recording/Organizational skills * Proficiency in Adobe or similar software, Outlook, Word, Excel and PowerPoint. * Experience with supporting multiple offices, non-US office experience is a plus * Experience working at a subsidiary of a larger company desired but not required * Strong interpersonal, time management and organizational skills * Experience with writing, proofreading and editing documents and the ability to apply to English usage and grammar skills is required. * Outstanding verbal communication skills with ability to successfully communicate with several members of internal and external Senior Management on a daily basis. * Versatile and proactive with a solid work ethic and strong leadership.
