OverviewThe Canon Solutions America Executive Assistant relieves the executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities. May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Responsibilities- Receive, screen, and route telephone calls, mail and correspondence, being sensitive to priorities and importance.

  • Arrange and schedule appointments, receive visitors, disseminate information pertaining to general company policies and procedures, and use own judgment in handling routine matters in order to conserve principal's time.

  • With guidance and specific instruction, assist in compiling research as it pertains to the establishment of procedures for department projects and administrative support requirements. Collect, verify, and calculate data from internal and external sources, and provide specific information to principal.

  • On own initiative and for items that require principal's signature, compose responses to correspondence and other memoranda which outline or explain administrative policies or procedures.

  • Handle details for maintenance of office functions such as ordering supplies and services, processing expense reports, and filing.

  • May be required to attend meetings and conferences to assist principal with administrative details.

  • Responsible for managing executive calendars, electronic calendars and all aspects of travel.

  • Prepare presentations and other documents, including spreadsheets and reports, as needed.

  • Prepare and process expense reports.

  • Plan and arrange meetings and ensure proper preparation and maintenance of organization reports.

  • Assist other principals or assistants in area as requested, and may be called upon to perform any or all of the work assigned as regular duties for jobs in subordinate classifications. Qualifications- Bachelor's degree or higher

  • Minimum of 7-8 years of experience

  • Powerpoint proficiency (required)

  • Prior experience supporting executive level employees (preferred) - Lotus Notes experience (preferred)

  • Advanced MS Word, Excel and Powerpoint Skills

  • The incumbent should have a minimum typing speed of 65+ wpm, and the ability to deal effectively with confidential matters Company OverviewCanon Solutions America, Inc.

SUMMARY Responsible for providing confidential administrative support to executive level personnel. Ensures effective and efficient operation of the executive's office and workflow with internal and external clients. Manages clerical and other support staff as required. ESSENTIAL DUTIES AND RESPONSIBILITIES * Manages executive's calendar, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings; * Deals with complex queries and complaints on the phone, by email or in person, requiring a thorough knowledge of company operations, policies, procedures and personnel; * Communicates and handles incoming and outgoing electronic communications on behalf of the executive; * Prepares routine presentation materials for the executive; assists on more complex presentations; * Reviews and summarizes miscellaneous reports and documents; prepares background documents and outgoing mail as necessary; * Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner; * Arranges travel schedule and reservations for the executive as needed; * Researches and analyzes routine administrative projects; prepares first draft reports on routine administrative matters; * Responds independently to letters and general correspondence of a routine nature.
