Job Summary


  • Provides administrative support to a vice president including answering telephones, generating correspondence and reports, scheduling meetings and travel arrangements.

  • Provides assistance with routine inquiries and special projects as necessary.

  • Uses discretion and acts accordingly in confidential matters related to the department and company in order to maintain the integrity of the company and its employees.

Job Functions

  • Answers telephones, screens calls for assigned executive, and responds to routine internal inquiries as well as external customer inquiries, and/or routes to the appropriate person or department while maintaining customer relations and providing a professional image of the company.

  • Attends executive meetings, takes notes and follows-up with staff regarding projects and assignments when directed.

  • Maintains and updates executives' calendars of appointments; collects and prepares necessary materials for them prior to scheduled meetings; schedules department travel arrangements and meetings, and keeps staff informed of schedules to help assure all appointments are kept.

  • Assists executives in planning and coordinating off-site business activities and meetings as well as company-wide events for large groups of people. This includes gathering information, interacting with vendors and all levels of management within the company, obtaining contracts and purchase orders, and communicating necessary details of events to those involved.

  • Keeps executives apprised of urgent issues and requests while they are away from the office and handles such tasks on their behalf as necessary.

  • Generates routine correspondence and prepares and reviews presentations and reports for executive level meetings with attention to detail to ensure accuracy.

  • Coordinates ordering and maintains inventory control of company stationary supplies, office supplies and equipment for the department including submitting purchase requests and supply requisitions, submitting invoices for timely payment, and ensuring that departmental employees have the tools needed to perform their assigned tasks.

  • Maintains department records and filing system for quick retrieval and the completion, review and reporting of department results and special projects; coordinates the review of department records on an annual basis to comply with the company's record retention policy.

  • Develops and maintains rapport with departmental staff and all levels of management to aid in department relations as well as enlisting support for special projects.

Minimum Qualifications :

  • Strong oral and written communication and interpersonal skills; analytical thinking skills; ability to maintain confidentiality of information; networking; project management; responsive approach to tasks.

  • Seven or more years of directly related experience as a secretary or administrative assistant.

  • A high school diploma or G.E.D. One to two years post-high school education preferred.

  • Knowledge of general office equipment such as fax, copier, and telephone systems. Proficient in Microsoft office products (Word, Excel, PowerPoint); Outlook.

In this role, you will be responsible for the following functions: facilitate application process by interfacing with customer in taking complete applications; requesting documentation from borrowers; discussing products and pricing at the request of, or in the absence of, the Home Lending Advisor; take all initial inquiry calls for pre-qualifications and review data with Home Lending Advisor; act as liaison between Home Lending Advisor, branch and processing center (if applicable) and coordinate submissions and closings; act as the primary liaison with group of established realtors (20-30)to allow Home Lending Advisor to concentrate on generating new business; review complex files; identify potential problems with loan applications and arrive at workable solutions prior to submission to processing; manage pipeline, including updating Home Lending Advisor on pipeline status and updating borrowers and builders on status of loan; watch for and prevent pipeline fallout and quote rate to pipeline floats; coordinate and manage marketing to buyers, sellers, realtors and builders; assist in staffing Realtor/builder open houses and trade shows; establish with Home Lending Advisor annual number of loans required to fund and close and/or incremental increase in Home Lending Advisor (s)'s annual production; and, if applicable, support Home Lending Advisor (s) to achieve high usage of laptop originations. You will provide a high level of customer service to both internal and external customers. This position is subject to the Dodd Frank/Truth in Lending Act qualification requirements for Loan Originators.
