Responsible for providing administrative, organizational, and technical support at the Vice President level in order to facilitate the Vice President's effectiveness and the smooth and accurate flow of incoming and outgoing information. Handles various administrative tasks in a timely, professional, and thorough manner.
Interacts with company leaders, staff at all levels, and business associates. Primary Responsibility In the Vice President's absence, and as authorized, uses initiative and judgment to assure that matters requiring attention are referred to the delegated authority, or are handled in a manner so as to minimize the effect of the Vice President's absence and ease his/her return. Maintains follow-up files and screens incoming calls and "drop-ins" consistent with policy and practice of the executive.
It is critical that the incumbent display the appropriate discretion and diplomacy during the course of these duties. Acts as the primary liaison between the Vice President and his/her internal and external contacts. Responsible for the efficient flow of information into and out of the Vice President's office to include preparing ongoing correspondence and reports, while ensuring the resulting correspondence and reports are presented professionally.
Dependent upon the nature of the correspondence and reports, selects the optimal method/system to utilize to compose and convey this information, cognizant of the audience and purpose of the correspondence. Receives, sorts, and prioritizes incoming correspondence, provides file information of relevance and, as appropriate, routes or prepares preliminary responses. Participates in the development and preparation of budgets and the ongoing monitoring of expenses.
Responsible for maintaining the Vice President's calendar, the scheduling of appointments and trips, and receiving and assisting outside visitors. Coordinates all components of scheduling meetings. Maintains a current phone directory and office supplies.
Receives internal and external correspondence, and calls, contacts, and diplomatically refers/responds to the same thereby maximizing the efficient use of the Officer's time. Ensures minimal disruption during the Vice President's absence and subsequent return through attending to all appropriate details. Provides administrative support to other management and/or other employees within the department.
Based on extensive Corporate experience or specialized skills, serves as a resource to peers and as necessary, provides the same with support or assistance. Also assists other areas on special projects or priority items through administrative support, providing information or coordination of efforts. Performs special functions related to the specific responsibilities of the Vice President.
Knowledge and Skills Must possess excellent interpersonal skills and organizational abilities. Must maintain absolute confidentiality and possess the highest level of integrity. Requires flexible work habits and the capacity to concurrently handle a variety of duties/projects.
Must be conversant with current system technologies such as Electronic Mail, Electronic Filing, and other internal systems. Personal computer literacy and the aptitude to utilize word processing, spreadsheet, database and graphical presentation systems is required. Proficient in typing, transcription, shorthand, and composition.

Must possess the demonstrated ability to assume responsibility without direct supervision, exercise initiative and judgment, and make decisions within the scope of assigned authority.
