Reports To: President, Packaging

Position Description:

The Executive Administrative Assistant will provide high-level support to the Packaging President. This position is located at the Barry Wehmiller corporate office. This position will provide ongoing support for the Packaging President with a variety of administrative responsibilities including calendar organization, scheduling, communicating with Division Leaders to coordinate meetings and events, and travel. This role will act as a central point of contact in support of the Packaging President.

Principal Duties and Responsibilities (Essential Functions):

  • Provide general administrative support and assistance to the President to ensure commitments and deadlines are met.

  • Provide extensive calendar management.

  • Strong ability to prioritize tasks based on urgency. Ability to differentiate immediate versus longer term priorities and react accordingly in a professional manner.

  • Provide support for travel needs for the President, Packaging to include airline reservations, hotel reservations, car service and/or car rental reservations.

  • Maintain travel profile, travel numbers, passport renewals, visa travel needs, etc.

  • Schedule and organize executive leadership meetings, including:

  • Preparing agendas

  • Securing travel

  • Arranging hotel and ground transportation

  • Catering

  • Tech equipment set up

  • Meeting room reservations

  • Managing contracts

  • Coordinating arrangements

  • Communicating with attendees on pre-read materials and follow up notes

  • Support with coordinating schedules and ongoing meetings for the Packaging leadership team.

  • Welcomes new Packaging team members and is responsible for successful onboarding with a "red carpet" welcome.

  • Coordinates organization-wide (within Packaging) recognition program including selecting winners, communicating with divisional People leaders, and administration of recognition awards

  • Assists President with management of tasks in Workday.

  • Assist with budget and invoice reconciliation, credit card and travel expense documentation, report creation, and other administrative tasks as assigned.

  • Ensures office needs are met including but not limited to stocking office supplies, kitchen supplies and other areas as needed.

  • Complete special projects as assigned by the President.

Required Education and Experience:

  • Bachelor's degree in business, communication or equivalent preferred. Or 5+ executive assistant experience in a C-Suite capacity.

  • 3+ years' experience working as an Executive Assistant in a business

  • Successful track record of proactively organizing and supporting an executive team achieving optimal results

  • Advanced Microsoft Office skills, including experience with higher level Excel functions and PowerPoint

Supervisory/Responsibility:

  • Individual contributor with no direct reports

Work Environment:

This is an office position.

Position Type:

This is a regular, full-time position, in office, with the understanding that a regular workweek will require extended days and hours as needed to meet business needs.

Travel:

No travel is expected for this position

Physical Demands:

The physical demands described here are representative of the those performed in the job duties. The employee sits at a desk and uses a computer for prolonged periods of time. Performing the role frequently uses close vision, speech, hearing, and dexterity to operate office equipment. The employee must occasionally lift and/or move up to 15 pounds.
