ORGANIZATION OVERVIEW

The Park Heights Community Health Alliance, Inc. (PHCHA) seeks to collaborate in the improvement of the health of Baltimore's Park Heights community through wellness initiatives, environmentalism, health education, and service in partnership with community organizations, businesses, and individuals. PHCHA's goal is to help maximize the Park Heights community's potential as a healthy, safe and vital neighborhood.

Our mission is to encourage the residents of Park Heights to be advocates of their own health through mindfulness activities, wellness initiatives, community education and service.

JOB DESCRIPTION

The Part-Time Executive Assistant provides essential administrative support to the Executive Director on a part-time basis, ensuring the smooth operation of office activities and assisting in the execution of strategic initiatives. This role requires strong organizational skills, attention to detail, and the ability to work independently with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide general administrative support, including filing, data entry, and maintaining office supplies inventory.

  • Draft/proofread correspondence, emails, memos, and other documents on behalf of the Executive Director.

  • Handle incoming calls, emails, and inquiries, responding or redirecting them appropriately.

  • Prioritize and manage multiple projects simultaneously, following through on tasks to ensure timely completion.

  • Maintain accurate records and files, including confidential information, and ensure they are easily accessible.

  • Assist in preparing agendas and materials for board meetings, committees, and other governance-related activities as well as events.

  • Track project milestones, deadlines, and deliverables, ensuring that all tasks are completed on time.

Preferred Qualifications:

  • Proven experience as an executive assistant or in a similar role supporting senior management.

  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

  • Strong written and verbal communication skills, with exceptional attention to detail.

  • Discretion and the ability to handle confidential information with sensitivity and professionalism.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software preferred.

  • Education, training/ experience in business administration, communications, or a related field preferred.

  • Ability to work independently with minimal supervision and as part of a team.

  • Coachable and willing to learn new skills.

COMPENSATION:

Hourly: $35 per hour

  • 10 hrs/week with potential to increase.

  • This is an in-person position with Remote work possible in the future.

*The Part-Time Executive Director Assistant typically works a set number of hours per week in a professional office environment. The schedule may vary based on the needs of the Executive Director and the organization,but flexibility in working hours can be accommodated.
