Position Summary:

The Executive Assistant provides administrative and secretarial support to senior executives, e.g. heads of major divisions or administrative units.

Essential Duties and Responsibilities:

  • Provides administrative and secretarial support to GM, VRC & External Affairs

  • Schedules appointments; prepares external/internal correspondence; screens telephone calls and visitors; makes travel arrangements; coordinates meetings and receptions; prepares presentation materials; and maintains/files documents.

  • Coordinates internal and external technology to support remote meeting capabilities (such as Zoom or Microsoft teams).

  • Provides support for the drafting and review of communication materials.

  • Coordinates and produces sensitive reports and analyses (e.g., budgets, usage reports, progress notes) for review and distribution.

  • Coordinates review, execution and filing with contracts and invoices with appropriate parties.

  • Prepares and distributes agendas and meeting minutes.

  • May coordinate the work of additional secretaries and administrative assistants.

  • Works with limited direction from the senior executive and possesses a thorough knowledge of the organization.

  • Makes judgments regarding assigned and ad hoc duties.

  • Has regular contact with clients, industry and government officials, and senior management in other divisions.

Additional Considerations:

Required:

  • High school diploma.

  • 7 or more years related experience.

  • Proficiency in Microsoft application skills, including Word, Excel, and PowerPoint.

Work Characteristics:

  • Incumbents in this position possess excellent organizational skills and can handle multiple tasks simultaneously.

  • Need to possess strong verbal and written communication skills.

The Executive Assistant helps guide the top level of the organization, works on key strategic initiatives, and participates in strategic development. This position helps to lead the operational projects and supports the Executive's work with the team. The EA manages the Executive's time, correspondence, and travel to ensure the Executive is focused on tasks that service key operational priorities for the organization. This position requires obtaining a broad working knowledge of the San Diego Blood Bank policies, practices and current regulations. This position requires the ability to build rapport with other staff members, to effectively fulfill assigned projects and tasks, to evaluate administrative demands and identify process improvement opportunities. This position will take a lead role in the assessment and execution of administrative projects for the organization and must be able to motivate and guide others to ensure the successful completion of collaborative tasks. This position is responsible for understanding the specific needs of the teams. Extensive software skills are required. This position will communicate and interact effectively with other administrative peers, management, guests, hospitals, vendors, potential donors, and contacts at all levels of the organization. Responsibilities * Manage Executive's scheduling, communications and travel coordination. * Prepares correspondence. Create and edit spreadsheets, organizational charts, presentations, and other documents as requested. * Assists with managing department budgets. * Lead or participate on project teams related to a range of operational matters. * Anticipate support, expectations and requirements. * Works complex assignments/projects, which may require independent judgment and a high degree of initiative to resolve issues. Working Environment * Normal office environment. * Frequent exposure to outdoor environment and non-company facilities. * May be exposed to blood or bodily fluids that may be capable of transmitting diseases. * Normal blood bank environment with biohazard precautions. * May be called on to work or attend meetings at times other than routinely scheduled hours. Physical Requirements * Must be able to work on a computer 4-8 hours per day. * Must be able to communicate clearly. * May be required to lift up to 40 pounds. Equipment Used * Normal office equipment (examples: telephone, computer, cell phone, copier, fax). * Label machine, postage meter machine. * May be required to use vehicle to drive to post office. Qualifications * Bachelor's Degree or equivalent preferred. * Four or more years of Executive level support. * MS Office - Excel, Power Point, Word, Outlook (advanced level) * SharePoint * Type 50+ wpm * Strong communication skills * Project management experience. * Very strong technical competency. * Office phone system - Voicemail, call transfer, call hold, conference call, etc. * Capable to lead and work well within all levels of the organization. * Must always interact in a professional manner. * Advanced knowledge of standards and regulations that apply to blood bank. * Must be detail oriented, well organized, self-motivated and capable of independent work. * Must be able to direct workflow and perform advanced troubleshooting of technical and/or mechanical problems. * Must maintain a high level of conflict resolution skills. * Familiarity working with organizational budgets. * Experience managing up. * Experience with event coordination.
