Job Description:

We are looking for a responsible Executive Assistant to support our CEO in a timely and professional manner. You will provide high-quality administrative and clerical assistance to these top-level executives.

The Executive Assistant's main duties include scheduling meetings, making travel arrangements, organizing daily calendars, flagging emails and submitting expense reports This role will also provide front office support as needed. To be successful in this role, you should be proactive, meet deadlines and communicate effectively.

Our ideal candidate also has previous experience as an Executive Assistant and is familiar with office management technologies. Ultimately, you should be able to identify and address the needs of C-level executives and perform administrative tasks to ensure our company's workflow runs smoothly.

Responsibilities:

o Coordinate daily calendars of senior managers

o Flag e-mail/inbox of CEO

o Submit expense reports as needed

o Provide front office support as needed

o Plan appointments and events

o Act as the point of contact between executives and employees/clients

o Create regular reports and update internal databases

o Travel arrangements

o Manage phone calls and emails

o Respond promptly to managers' queries

o Facilitate internal communication (e.g. distribute information and schedule presentations)

o Suggest more efficient ways to run the office and troubleshoot malfunctions

o Review and recommend changes to our company policies

Requirements:

o Proven work experience as an Executive Assistant or similar role

o Knowledge of office procedures

o Solid experience with office management systems, MS Office, Google Docs

o Familiarity with online calendars and cloud systems

o Experience using office equipment, including printers and fax machines

o Strong communication skills (via phone, email and in-person)

o Experience exercising discretion and confidentiality with sensitive company information

o Excellent organizational skills with an ability to think proactively and prioritize work

o High school diploma
