Job Description Job Description Executive Assistant and Office Manager Job Description Libardoni Financial is seeking an assistant for an established financial advisor whose business is selling, servicing, and supporting his tax and financial planning clients. In this role, you’ll support the financial advisor in all aspects of new sales, client services, tax services, administrative tasks, and managing the smooth functioning of the office.
We are looking for someone with experience working in a similar role who demonstrates excellent computer, organizational and communication skills, as well as a commitment to maintaining a positive attitude and strong work ethics under a fast-paced, customer responsive environment. The assistant would also manage the increased customer in-person and phone traffic during tax season. Job Responsibilities:
Website and account navigation to ascertain private client information, insurance and investment company information Prepare sales application materials, process new business through the broker dealer’s CRM system; follow up on requirements requested to successfully place new business · Prepare documents for client meetings, update figures, research and update client information from a multiple of company websites, type summary reviews, financial statements and other documents as requested · Manage follow up with ongoing service requests from clients such as owner/beneficiary/address changes, death claims, withdrawal requests, IRA distributions · Maintain the advisor’s emails and phone calls, keeping the advisor informed by proactively reaching out via phone and text when they are out of the office Manage administrative duties during tax season: Conduct intake procedure for tax client; reach out as requested for further tax information; check frequently and update file when IRS approved, and fee paid; log payments on excel; keep tax files in secure location; securely dispose of personal documents · Maintain client files both electronically and paper and protect their privacy Perform other administrative support duties such as tracking office expenses, ordering supplies, managing copy machines/shredder/telephone system, updating laptops, troubleshooting simple IT issues, updating usernames and passcodes for the advisor Work Hours and Benefits: · This position is flexible with work hours up to 40 hours a week during tax season but no less than 20 hours a week year-round with flexibility for start and end times/days · Starting salary is $35.00 per hour with an increase after 6 months and 12 months · Retirement plan contribution after two years of employment Qualifications and Skills: · High proficiency with website navigation, common office software, and customer relationship management tools. Ability to multitask, prioritize to-dos, and proactively follow-up on all outstanding actions Ability to adapt and anticipate needs of executive/clients Strong written and verbal communication skills to interact with employees, clients, and companies effectively.
Ability to identify and resolve issues quickly relating to client requests Ensuring accuracy in documentation, financial transactions, and other administrative tasks. Efficiently manage time and deadlines to ensure smooth office operations. Comfort with changing priorities, and a dynamic work environment.
