Executive Assistant
Summary of the role:
The Executive Assistant is responsible for handling all secretarial activities for the assigned executives (VP, EVP, SVP), and is based in Milan as the primary location.
More particularly, within the EMEA Travel Seller Unit, he/she will be responsible for providing comprehensive administrative and operational support to the assigned leaders, playing a pivotal role in facilitating communication, managing schedules, coordinating meetings, handling travel arrangements, and maintaining a high level of confidentiality.
Main Responsibilities:
Manage and maintain assigned executives' schedules, including arranging appointments, meetings, and travel itineraries
Act as the primary point of contact between assigned executives and internal teams/external partners
Coordinate and organize meetings, conferences, and special events, including logistics and materials preparation
Close collaboration with other global & transversal Amadeus Teams (i.e. marketing team, legal team, finance team, VP office, Leadership Team members, and others)
Prepare and edit correspondence, communications, presentations, and other documents as needed, including finding ad hoc content in the Amadeus repository and or through the most relevant internal stakeholders
Anticipate needs and proactively address issues to ensure efficient workflow and support the assigned executives
Handle sensitive and confidential information with discretion and professionalism
Assist in budget management and expense tracking, including compiling receipts to file expense reports and track reimbursement status
Occasionally, provide support such as following up on projects and initiatives and compiling data to support executive decision-making and initiatives
About the ideal candidate:
Education: Bachelor's degree or equivalent experience preferred
Proven professional experience as an Executive Assistant or similar role supporting CEO and/or C-suite executives
Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment
Strong communication and interpersonal abilities, both written and verbal, and attention to detail
Proficiency in Google Workplace suite and Microsoft Office
Familiarity with administrative systems
Ability to gather data, compile information, and prepare reports
Fluency in English and Italian, both verbal and written; knowledge of French and Spanish will be considered a plus
Discretion and confidentiality when handling sensitive information
High level of professionalism and adaptability
