Paradigm is a national company providing case management service to injured workers and helping to restore lives. The primary responsibility of the Executive Assistant is to support the overall administrative functions of their assigned department or executive. This position requires exceptional attention to detail, timeliness, and accuracy of data entry. This position is responsible for providing direct administrative support to the assigned level leader(s) in the Sioux Falls office.

DUTIES AND RESPONSIBILITIES:

  • Provide administrative and secretarial support to assigned leader(s) and their teams.

  • Coordinate calendar and logistics for on-site and off-site meetings, including scheduling, registration, and travel arrangements as required by various participants and production and distribution of meeting materials.

  • Assist as meeting planner for all types of meetings; coordinate presentation needs with IT for room set up; coordinate and provide instructions for WebEx type meetings; coordinate catering needs and any off-site dining requirements.

  • Assist with administrative duties for other departments as needed/requested, including answering phones, meeting coordination, expense reports, etc.

  • Cross train to provide backup support with other Executive Assistants, understanding of support process and provides assistance to other Executive Assistants and work tasks required.

  • Process expense reports and requisitions for departmental invoices as assigned. Maintain understanding of department codes for appropriate processing of expenses.

  • Performs desktop publishing, and report development as assigned by departmental manager.

  • Manages projects and tracks progress as assigned.

  • Functions as the office liaison, ordering food, supplies, etc. as directed

  • Participate in meeting as assigned to take and develop minutes.

  • Responsible for complying with Paradigm IT security requirement and policies.

  • Responsible for safeguarding Paradigm or Paradigm related IT passwords.

  • Responsible for notifying Paradigm of any IT security incidents per policy 16.0 Information Security Incident Management.

  • Other duties as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily.   • Minimum of an AA degree. Bachelor's degree preferred.

  • Five + years' experience in an administrative support services role, working in a rapid paced environment

  • Have excellent oral and written communication skills.

  • Able to maintain a high level of confidentiality when exercising all duties.

  • Ability to excel with simultaneous assignments from multiple leaders or team members; strong ability to prioritize workload

  • Able to work independently, interpreting a variety of instructions and dealing with abstract and concrete variables.

  • Intermediate to advanced working skills using Microsoft Word, Excel and PowerPoint software packages.

  • Maintain a high level of energy and project a positive attitude to all Paradigm employees and anyone having or potentially having business with Paradigm.

  • Able to maintain a dependable and flexible work schedule.

  • Excellent organizational skills and attention to detail.

  • Ability to establish interpersonal relationships in a virtual work environment.

  • Ability to collaborate and work as a member of a team.

  • Excellent problem-solving ability.

Serves as back-up to the Senior Executive Assistant and Administrative Assistant as needed. The person must be self-directed and able to anticipate and respond to executive needs in a busy and informal environment. Essential Job Functions: * Will take lead in all aspects of executives calendars, appointments, event planning, meetings, partner visits and conference calls through Outlook with consideration of global time zones. Will screen incoming calls and correspondence and respond independently when possible. * Will take and transcribe dictation, research, compose, and prepare confidential correspondence, reports, and other complex documents as needed. Drafts e-mails on behalf of executives. * Provides daily back-up to the Executive Assistants for lunch breaks, vacations, meetings, etc. Will be proficient and professional on answering phones and greeting customers and visitors as the voice and face of the organization. Responsible for mail distribution in coordination with the Executive Assistants. Is knowledgeable and timely in getting correspondence sent through the appropriate couriers. * Arranges complex and detailed travel plans (including transportation, hotels, etc.) and itineraries, and compiles documents for travel-related meetings. * Adjusts executives commitments to maximize time efficiency. * Takes minutes for committee meetings as requested. * Coordinates and compiles information submitted from all over the organization to develop and prepare a monthly MPS Board Report. * Manages multiple top priorities concurrently. * Prepares and reconciles executive business expense reimbursements. * Maintains confidentiality and a high level of integrity and professionalism in all aspects of their work. * Updates and follows up on delegated tasks to ensure deadlines are met. * Composes correspondence and reports for executive level staff. * Will be called upon to scan, fax, and copy documents as well as encrypt them as required. * Build relationships with key personnel across the organization. * Maintain a working knowledge of key partners. * Serves as a resource for corporate-wide secretarial and administrative responsibilities. * Actively participates in the bank's Performance Management System. * Supports and embraces Bank values. * Maintains complete confidentiality with all company business. * Complies with all provisions of the Bank Security Act * Perform other duties as assigned.
