The Executive Assistant will perform a wide variety of administrative duties, including but not limited to: maintaining Vice President's records and preparing for committee meetings; preparing letters, reports, and meeting minutes; scheduling meetings; maintaining calendars; coordinating special programs/projects; implementing office procedures and performing other secretarial duties to maintain a professional office environment.

Requirements:

  • Associate degree in business administration or equivalent experience required

  • Strong computer skills

  • Minimum of 5 years' experience working in an office setting

  • Calendar management: ability to make intuitive decisions about how to manage

  • Meeting management: agenda, minutes, set-up, take down, coordinating/organizing

  • Strong technology competency: MS Suite, database management, virtual meeting/conference software, etc.

  • Excellent customer service skills

  • Excellent telephone etiquette, speaking/communication skills; tact and positive demeanor

  • Ability to work independently and take initiative

  • Ability to prioritize and coordinate multiple projects

  • Ability to process and organize large amounts of data

  • Ability to problem-solve

  • Ability to speak in front of a group of people

Critical to the role are strong organizational skills, ability to effectively plan and prioritize, interact effectively with other departments and teams in a matrix organization, and demonstrate sound judgement handling confidential and sensitive materials. * ESSENTIAL FUNCTIONS Reasonable accommodations will be made to enable individuals with disabilities to perform the essential functions. Specific job responsibilities include but are not limited to: * Support budget preparation and monthly management, expense reconciliation, and other reporting with Finance * Manage financial and legal documentation, including executing contracts, procurement and accounts payable processes * Manage department calendars, including scheduling meetings and conference calls, preparing materials for meetings as needed, coordinating and communicating follow-ups and managing coordination of information inflow * Assist leadership in preparing agendas, prepare and coordinate correspondence and maintain files * Plan, manage, coordinate and execute on/off-site meetings & business events * Manage and plan all travel logistics including domestic and international * Assist in creating internal and external reports for the department * Complete expense reports, timesheets, etc. * Maintain a high degree of professionalism, confidentiality, initiative, independence in support of team members on a wide variety of complex issues * Provide support as needed The above statements are intended to describe the nature of work performed by those in this job and are not an exhaustive list of all duties.
