Job Description
The Executive Assistant for the Office of the Provost provides professional, high-level direct support to the office as well as the Provost, Associate Provost for Academic Operations, Accreditation, and Assessment, and Sr. Executive Assistant to the Provost and performs a broad array of administrative duties in support of academic affairs. In the performance of duties, the Executive Assistant will work both independently and collaboratively as appropriate, and exercise initiative, judgement, discretion, and confidentiality to relieve the office from routine duties.
Key Responsibilities:
Provide a broad variety of administrative duties for the Provost, Associate Provost for Academic Operations, Accreditation, and Assessment, and Sr. Executive Assistant to the Provost, and Academic Affairs units
Compose and prepare correspondence, reply to emails and other inquiries on behalf of the office, some of which involve highly confidential and/or sensitive matters, and serve as a resource person to others within Academic Affairs
Serve as the front face of the office at the front desk providing positive first impression for our office and building, handling incoming calls and directing callers to the appropriate person or department
Manage calendar, schedule meetings, correspondence, etc. for the Associate Provost
Non-standard meeting time requests
Back-up calendar support for Provost and Associate Provost for Faculty Affairs
Complete expense reports for travel reimbursement for provost and Associate Provost for Academic Operations, Accreditation, and Assessment
Maintain front office area and coffee station
Inventory and order office supplies
Pay bills, subscriptions, memberships, invoices, etc. for provost and chancellor's office
Maintain provost webpage
Manage and maintain curriculum management. (This includes certificates and degrees - new and revised.)
Compose routine correspondence, proofread and/or finalize correspondence
Process travel authorizations, incidental forms, and alcohol request forms for the provost office
Process contracts for Provost direct reports
Order food for meetings and arrange rooms
Help maintain provost@mst.edu email
Special Projects/other duties as assigned
Process faculty and staff eRecruit postings and job offers
Process PCQs as the Provost delegate
Assist executive faculty searches
Coordinate travel and accommodations as needed
Assist in preparing for meetings, as necessary
Other duties as assigned
Minimum Qualifications
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
Demonstrated self-starter
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
Strong organizational skills that reflect ability to perform and prioritize multiple tasks
Interpersonal skills and the ability to build relationships with a variety of individuals and groups and maintain a welcoming office environment
Excellent written and verbal communication skills
Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
Previous knowledge or experience working with PeopleSoft is desired
Experience working in higher education is preferred
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $18.61 to $25.25 hourly.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
