Responsibilities

  • This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across global teams.

  • The Executive Assistant will act as a seamless extension of the Technology office and will work closely with other Executive Assistants throughout the organization.

  • The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility and composure.

  • Responsible for running employee engagement programs and other projects sponsored by the Chief Technology Officer that drive the culture and recognition within the organization. This person must not only be capable of recognizing organizational needs, but be able to plan, achieve buy-in and execute those projects. This is a dynamic, highly personal aspect of the role that requires a strong EQ.

  • The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team.

  • A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical.

  • The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture.

  • The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.

Areas of responsibility:

Primary support: Chief Technology Officer.

  • Management of complex calendars and scheduling to support teams in multiple locations

  • Manage extensive domestic and international travel including creating itineraries

  • Lead and execute Technology employee engagement initiatives: Recognition Program, TECH Talks, Communities of Practice Talks, Hackathons, Distinguished Engineers

  • Organize, execute and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)

  • Schedule quarterly CPP meetings with Executive Committee and all related meetings preceding each CPP (Pre-CPP meetings, PRB, etc.)

  • Schedule and host monthly Global Staff Meetings and Extended Leadership Meetings

  • Employee onboarding, offboarding, and maintaining out of office records

  • Management of team space, including moves and reconfigurations. Manage move between floors in November 2019.

  • Reconcile expense report and submission

BASIC QUALIFICATIONS

  • Experience providing executive support assistance at Senior management level

  • Strong organizational, communication and interpersonal skills

  • Ability to prioritize and handle multiple assignments at any given time

  • Project management experience

  • High levels of integrity and discretion

  • Impeccable attention to detail

  • Highly motivated, organized individual who is able to work effectively with minimal supervision

  • Experience designing processes to maximize efficiency

  • Excellent Microsoft Outlook, Excel and Word management skills

  • Project Management, Event Management, and Program Management skills preferred.

  • Must be able to manage multiple events in a fast-paced environment

  • Evidence of a continuous-improvement mindset for optimizing processes.

  • Excellent teamwork skills, particularly the abilities to continually anticipate emerging issues, and to plan for success.

  • Excellent oral and written communication skills

  • Strong and effective problem-solving, analytical, and research skills.

  • Excellent and effective organizational and time management skills.

  • Excellent MS Office skills.

  • Ability to work autonomously in a relatively unstructured environment, to prioritize and multi-task on competing projects and to execute and complete deliverables in a timely manner.
