The ideal candidate will provide a high-level of administrative support to the VP of Sales for IBU and his organization, both local staff and remote staff, with minimal supervision. The individual will also provide administrative support to the IBU Marketing and Engineering personnel in Milpitas and remote locations. This individual will also serve as back-up support to other staff members as needed.

General Administrative Responsibilities include: scheduling, tracking, and organizing daily activities of the VP and other IBU team members, including, managing calendars using MS Outlook; making travel arrangements using Concur and in accordance with Renesas's travel policy; planning activities/meetings and other corporate events, including participation on the company's Inter Active Committee; assisting in compiling data/preparing reports, creating/modifying PowerPoint presentations, working with Excel spreadsheets, creating/typing letters/memos, processing purchase reqs, expense reports for reimbursement and invoices for payment; tracking and maintaining organizational budgets; and coordinating other administrative activities as necessary.

Qualifications:

  • Requires a minimum of 6 + years administrative experience.

  • Must have supported a Vice President or above, must be self-motivated and able to work independently

  • Position requires ability to manage multiple priorities, close attention to detail, and strong interpersonal and verbal and written communication skills.

  • Demonstrates high level of proficiency with Microsoft Office - MS Outlook, Word, Excel and PowerPoint and the ability to learn new software quickly.

  • Should have some knowledge of accounting and be able to answer questions, understand and interpret vendor invoices, statements, and other requests for payment as well as handle departmental expenditures.

  • Professional demeanor, dependable, punctual, consistent and trustworthy with good work ethics and a positive attitude.

  • Confident working in a fast-paced environment; able to juggle multiple tasks to meet deadlines.

  • Proactive with ability to anticipate needs and have a sense for prioritizing duties; excellent time management skills. Requires ability to exercise good judgment.

  • Ability to handle various administrative projects involving assimilation of data from various sources; coordinating resources necessary to obtain data.

  • Must have superior organizational skills, ability to solve problems and provide consistent follow through. Be a team player who will help others as well as ask for help when needed.

  • The nature of this position also requires discretion and confidentiality.

  • Able to effectively interact with all levels of the organization, including management, investors, customers and guests. Fluency in English. Fluency in Japanese would also be desirable but not a requirement.
