Job Description Christopher Community, Inc. (CCI) seeks an experienced Executive Administrator to join our team. CCI is a not-for-profit housing development and property management organization that assists low- and moderate-income individuals, seniors, and families to secure suitable housing across Upstate New York.

The organization currently manages over 3,000 units of quality housing along with administers the Onondaga County Rental Assistance Program which provides assistance to over 1,200 households. CCI is responsible for the management of the operating budget of over $30M and employs over 160 employees. The Executive Administrator is a full-time position that supports the President/CEO and the Executive Team of the organization.

This position is responsible for managing all organizational communications including with the Boards (Organizational and Properties) on behalf of the President/CEO and with community and regulatory agencies. The Executive Administrator will be responsible for maintaining the company calendar, boardroom scheduling, managing Board meetings, taking minutes, and work within Human Resources as needed to help manage the hiring process. The position will work closely with the Executive Leadership Team.

Schedules, interfaces and is the liaison between CCI with Organizational Board and Property Boards. Maintains discretion and confidentiality in relationships with all board members including adherence to compliance with applicable rules and regulations set forth int he bylaws regarding board matters, including the advance distribution of materials. Manage administrative board communications, meeting preparations and recordkeeping.

Prepare deliverables, including drafting letters, meeting minutes, correspondence, emails, and other tasks that facilitate President/CEO's ability to effectively lead the organization and provide support to the Executive Leadership Team. Prioritize conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures while effectively communicating with President/CEO & Executive Leadership Team regarding competing priorities. Manage scheduling, attending, and preparing related agendas for all Executive and staff meetings.

Assist the Executive Team with maintaining communications with exterior stakeholders (i.e. investors, syndicators, banks, etc.) in order to maintain timely communications and collaboration. Draft for review executive team communications to interdepartmental teams. Maintain high level documents for company Executives.

Help draft, coordinate, facilitate and update organizational procedures, policies and workflows. Answers phones, performs administrative and recordkeeping tasks for President/CEO & Executive Leadership Team. Maintains accurate records of active job openings and received applications; manages internal and external job postings.

Reviews applications for entry-level and non-exempt positions; conducts and schedules preliminary interviews. Plans and aids in Employee Appreciation events. Plans and supports company-wide information meetings such as open enrollment, new hire orientation, etc.

Performs other duties as assigned. Education, Experience & Skills Bachelors' degree required. Three years of office experience preferred.

Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to type at least 40 words per minute.

Proficient with Microsoft Office Suite or related software. Excellent written, verbal, and communication skills Ability to operate with a high degree of flexibility and to adapt to changing demands Proficient in Microsoft Excel including experience querying data Strong attention to detail PI4ab24121eb01-25405-34044263
