Mission/Authority

This position provides excellent administrative assistance to the Vice President International Human Resources & Global Benefits and the Vice President Global Talent Management & Mission Capabilities.

Essential Duties:

Administrative Support shared position serving two vice presidents: VP International HR & Global Benefits and VP Global Talent Management & Mission Capabilities

  • Provide administrative support to the VP Intl HR & Global Benefits and the VP Global Talent Management & Mission Capabilities as needed (correspondence, record keeping, file maintenance).

  • Proof read a variety of documents.

  • Articulate policies and documents to staff and volunteers.

  • Organize and respond to, as appropriate, incoming correspondence (phone, email, U.S. mail).

  • Manage calendar, schedule and inboxes.

  • Provide primary phone support.

  • Provide support for executive recruitment interview materials.

  • Coordinate all travel, meeting arrangements and conference calls.

  • Draft general letters and reports.

  • Draft Power Point presentations, agendas and other presentations as needed.

  • Manage office files and records (electronic and hard copies) for easy retrieval.

  • Administer Young Life Developing Kingdom Leadership Committee agenda, minutes and notebooks.

  • Act as a liaison with internal experts and colleagues to resolve issues.

Benefits Administrative Support

  • Assist the benefits department with seasonal assistance and occasional back-up.

  • Submit numerous vendor invoices through Young Lifes Concur system for timely payment for services.

Budget and Accounting

  • Serve as proxy for purchase card transactions for both vice presidents.

  • Manage budget costs of above expense accounts to ensure that expenditures do not exceed budget limits.

  • Create, maintain and/or analyze Excel spreadsheets for accounting reports.

  • Manage expense reports for the VP Intl HR & Global Benefits & VP Global Talent Management & Mission Capabilities.

  • Work with the Finance department to monitor and correctly categorize expenses.

Education and Working Conditions:

  • College degree preferred.

  • Office environment but will also involve some travel.

Qualifications Required for the Job:

  • High level of confidentiality and must handle sensitive information appropriately.

  • Represent the office of the VP IHR and VP TM & MC in a friendly and professional manner.

  • Excellent professional communication skills, both verbal and written.

  • Must multi-task assigned ongoing- projects to completion.

  • Ability to learn and operate HR and other related computer systems.

  • Demonstrated proficiency in Microsoft Office Suite with 55-60 wpm.

  • Demonstrate the ability to work well independently and with others.

  • 5 - 7 years of administrative experience preferred working for senior executives.

The successful candidate will work directly for a Government Senior Executive Service (SES) Director, thus the successful candidate will have the upmost professional skills, effective and efficient communication skills, strong organizational skills, and self-motivation. Responsible for all administrative functions of the office. Ensures the most efficient and effective support is provided to the Director in the execution of his/her responsibilities. Specific tasks and responsibilities include: * Responsible for generating, prioritizing, and managing correspondence within the Directorate * Coordinates all meetings, pre-briefs, and other events with other organizations, individuals, and staff * Ensures all CONUS and OCONUS travel requirements are met * Responsible for the maintenance and quality control of files and correspondence * Develops internal operating procedures for routine office functions * Maintains and manages Directors calendar, has authority for commitment of time * Receives, screens, and answers telephonic and personal visitors/guests, answering inquiries and making referrals as appropriate * Handles classified materials and/or matters of confidentiality and sensitivity. * Types a variety of other materials in final form from rough drafts, notes, or oral instructions * Forecasts potential requirements, deconflicts problems, and plans and projects time for historically recurring requirements * Works with Directorate elements to make available documents, speeches, position papers, and briefings for the Director's use in meetings, briefings, and social functions Utilize computers, office hardware, and software to perform word processing, email, graphics, calendars, and database management Job Requirements Must be efficient with Microsoft Office applications (Word, Powerpoint, Outlook, and Excel). Both education and professional experience will be considered. The position requires a minimum of 10 years of relevant experience. Position requires that the candidate posses a SECRET security clearance in order to access classified material.
